We are a seeking a Safety & Compliance Coordinator to lead and support our proactive safety culture. This role is essential to ensuring regulatory compliance, minimizing risk, and promoting safe operations across our fleet in both Canada and the U.S.
Responsibilities
Oversee compliance with transportation regulations including CVOR, DOT, FMCSA, and provincial standards.
Conduct routine audits of driver logs (ELD), maintenance records, pre-trip/post-trip inspections, and driver qualification files.
Coordinate and support driver onboarding, application assistance, orientation, and training, ensuring all compliance and safety documentation is in place.
Assist with criminal record checks and conduct reference checks for new drivers.
Manage the pre-employment drug testing process and prepare monthly reports.
Investigate accidents, violations, and safety incidents, preparing detailed reports with root cause analysis and corrective action plans.
Manage all vehicle and cargo claims, including communication with insurers and documentation.
Receive logbook audit reports, review discrepancies with drivers and managers, and take corrective action as needed.
Maintain and update safety manuals, SOPs, and internal policies to ensure they reflect current regulatory requirements and company standards.
Track and manage expiration dates for driver abstracts, medicals, licenses, safety certifications, and permits.
Prepare truck binders for all new trucks and update binders annually or as changes occur.
Issue and cancel fuel cards as needed, keeping accurate logs of changes.
Monitor and track fuel consumption data across the fleet, identifying discrepancies and trends.
Assist with IFTA (International Fuel Tax Agreement) reporting and ensure timely and accurate submissions.
Maintain and update Excel tracking sheets for various compliance-related items.
Perform data entry as required to support safety and compliance operations.
Maintain organized records and documentation for internal use and external audits (e.g. audits, border inspections, insurance reviews).
Lead safety meetings, toolbox talks, and ongoing training sessions to reinforce safety culture across all departments.
Monitor and manage fleet safety technologies, including ELDs, dash cams, GPS tracking systems, and driver performance metrics.
Prepare and deliver regular reports to management on compliance status, safety performance, and areas for improvement.
Represent the company during audits, inspections, and investigations by regulatory bodies and insurers.
Assist with miscellaneous safety and compliance tasks as needed.

Requirements
1 to 2 years of experience in a safety, compliance, or fleet operations role within the transportation or logistics industry.
In-depth knowledge of Canadian and U.S. transportation regulations, including Hours of Service, vehicle maintenance, and carrier safety programs.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Experience with Samsara is a strong asset.
Ability to manage multiple tasks independently and maintain confidentiality when handling sensitive information.

Pay: $35,615.24-$60,400.71 per year
