Responsibilities





SUMMARY:
Provides routine clerical and administrative support to the Safety and Emergency Management Department. Provides routine clerical assistance to the Claims Group by entering data in the system and updating files. Provides administration support to various training programs under Safety and Emergency Management department and maintains and updates database records and files. Provides administrative support for various incentive programs (including but not limited to) the Safe Driver and Safe Worker awards program.
DUTIES AND RESPONSIBILITIES:
1. Provides routine clerical and administrative support to the department, including:
a. formatting and typing a variety of material from rough drafts or verbal instructions, including correspondence, memos, forms and reports, using word processing and spreadsheet software;
b. searching database systems to extract required information for Freedom of Information requests, running prebuilt or canned queries and other prebuilt reports from the health and safety management software program, processing of claims or other safety-related projects, and photocopying, collating, and distributing the information as appropriate;
c. ordering and maintaining office equipment and supplies;
d. filing hard copy and electronic documents in the filing system;
e. answering telephone calls and taking messages; directing callers to appropriate person and notifying staff for urgent messages;
f. compiling and distributing documentation, pamphlets, and other materials (including but not limited to) in support of training, emergency exercises, meetings, research;
g. assisting the department with coordination of audits;
h. performing data entry of routine information related to the health and safety management onto the appropriate software program, transcribing correspondence, reports, forms and other documents as instructed;
i. providing administrative and clerical support as directed and needed for committee meetings including the local Occupational Health and Safety Committee.
2. Provides routine clerical assistance to the Claims group within the department by entering data in the system and updating files by:
a. sorting of mail received for the department;
b. conducting preliminary preparation for WorkSafeBC claims;
c. gathering investigative materials in support of claims management; filing and electronically documenting them appropriately;
d. communicating routine instructions to the designated appeals representative and escalating any potential issues to the supervisor/manager;
e. submitting requests for the procurement of video footage as requested;
f. arranging site visits with WorkSafeBC and other stakeholders;
g. responding and handling preliminary WorkSafeBC claims requests from stakeholders; providing response if routine and/or forwarding it to the supervisor/manager for escalations;
h. providing background information and related documents such as shift schedules, indexes/bus routing, specifications and company procedure and policies;
i. performing data entry of routine information related to claims management into WorkSafeBC online portal and relays information related to claims management to other affected stakeholders including payroll and benefits; generating various reports as instructed.
3. Provides administration support to various training programs under Safety & Emergency Management department and maintains and updates database records and files, including:
a. processing the end-to-end registration cycle for employees for first aid courses, conferences, and other safety training, as required;
b. communicating schedules to all applicable supervisors;
c. updating and maintaining files and ensuring all the relevant records are up to date;
d. entering data in the system for the training courses through appropriate software and, as needed, tracking to ensure the data is accurate.
4. Provides administrative support for various incentive programs (including but not limited to) the Safe Driver and Safe Worker awards program, including:
a. running and verifying reports for eligibility and sharing it with the relevant department for further action;
b. researching and handling routine complaints and enquiries from stakeholders and escalating the complex issues to the supervisor/manager;
c. reviewing records if Operator or maintenance staff challenges the validity;
d. supports other departmental awards initiatives as they arise.
5. Performs related duties as assigned, such being items of a minor nature that do not affect the value of the job.

Qualifications





EDUCATION:
Requires completion of Grade 12 and a certificate in Occupational Health and Safety, Human Resources, or a related discipline, including courses in word processing, spreadsheet, and database software.
EXPERIENCE:
Requires one (1) year previous office experience involving routine clerical, reception and record keeping functions. A further period of up to six (6) months in the position to become familiar with CMBC policies and procedures, departmental forms, filing systems, the prescribed treatment of source documents, and to gain experience with Freedom of Information requests, WSBC claims and appeal processes.

Recruitment Process: An applicant will be required to demonstrate their suitability for this position by meeting the minimum level of qualifications and experience in order to be invited into the selection process. A standard interview format will be used including general, scenario and behavioural descriptive interview questions.

Work Schedule





37.5 hours per week. This is a full-time, temporary assignment for 18 months.

Work Designation





Hybrid
This position offers the flexibility of working both on-site and remotely within B.C.

Rate of Pay





Salary: $4,690 - $5,628 per month (Actual salary offered will be commensurate with education, experience and internal parity).
