Job Overview:
The People & Culture Advisor provides front-line HR advisory support across the organization, focusing on employee and labour relations, policy administration, employee engagement, wellness, and offboarding. The Advisor is responsible for conducting and supporting workplace investigations, administering progressive discipline processes, managing accommodations, ergonomic assessments, and return-to-work plans, and coordinating recognition and engagement initiatives. This role ensures consistent and fair application of HR practices while supporting an inclusive, engaging, and compliant workplace culture.
Responsibilities:
Security Operations AdministrationTrack and schedule security license renewals and training certifications for all staff.
Prepare security checklists, shift rosters, briefing templates, and reporting logs.
Assist with uniforms, ID badges, equipment inventory, and repair management.
Support the Security & Film Operations Manager shift coverage coordination, and special event planning.
Assist in administering security systems (Genea, Eagle Eye), ensuring accuracy and data integrity.
Manage team correspondence, vendor coordination, and invoice/expense processing.
Lead the monthly shift schedule; support Shift Leads with adjustments for absences or last-minute changes.
Coordinate film support documentation and administrative requirements.
Lead all parking initiatives, acting as primary liaison with Calgary Parking Authority.
Maintain departmental KPIs and draft statistical reports for management review.
Collaborate with internal departments and external organizations as required to support security operations and film production activities, ensuring smooth coordination and communication.
HSE Program Support & CoordinationTrack employee safety training (e.g., WHMIS, First Aid, COR) and send proactive reminders.
Maintain records of incidents, near-misses, and hazard reports; assist with data entry and trend analysis in Corfix (safety software).
Assist in safety incident investigations by gathering information, documenting findings, and supporting the development of corrective actions.
Submit and track WCB claims and documentation and coordinate with People & Culture for return-to-work plans and accommodations.
Coordinate logistics for HSE committee meetings, actively participate as a committee member, record and distribute minutes.
Manage safety communications through various channels, including email and physical bulletin boards, by preparing and distributing safety moments for meetings, reminders, learning memos, and other relevant updates.
Assist in preparing and organizing COR audit documentation and coordinate the scheduling of audit interviews.
Prepare inspection checklists, audit binders, and training rosters for HSE reviews.
Prepare presentations and slide decks for meetings and initiatives as assigned by the HSE Manager.
Support the HSE Manager in emergency drill planning, scheduling, and documentation.
Assist in the review and updating of HSEMS policies and procedures to ensure compliance and alignment with organizational standards and OHS legislation.
Maintain organized and audit-ready safety documentation accessible to stakeholders.

Required Qualifications:
Minimum completion of secondary school education; post-secondary training in Business Administration, Security, or Occupational Health & Safety is considered an asset.
Minimum 2 years of administrative experience, preferably in a security, safety, or compliance-focused role.
Experience with scheduling, payroll/absence coordination, and vendor management.
Familiarity with security systems and HSE systems is an asset.
Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams) required.
Strong organizational skills with proven attention to detail and accuracy in data entry and reporting.
Strong interpersonal and communication skills, with the ability to collaborate across departments.
Valid Alberta Driver's License with a clean abstract.
