We are seeking a highly organized candidate who is able to assist in managing the reservations process for our Tour, Group and Leisure segments. Working closely with our Sales and Revenue Management team on a daily basis, this non guest facing role requires a high attention to detail, strong time management and multitasking ability.

What you will be doing:
  • Assist with the day-to-day operations of our Tour, Groups, and Leisure segments.
  • Consistently offer professional, engaging and friendly service
  • Act as key resource for Tour, Group and Leisure reservations knowledge
  • Update package information and communicate details to pertinent departments
  • Assist with managing the hotel inventory; category oversells, hotel oversells and spearhead inventory challenges for at capacity dates, working with all segments to find solutions
  • Foster strong relationships with GRC, Front Office, Fairmont Gold, Concierge, Resort Activities, F&B and Sales teams
  • Assist Reservations and Operations teams with interpretation of new and existing rate code/promotions, tour/wholesale and group contracts
  • Assist with monitoring of all Reservations common inboxes and ensure correspondence of emails within a timely manner
  • Support reservations agents with tour and group billing, and the making of reservations in all segments during high demand periods
  • Assist with turning and auditing of Group contracts as well as ensuring inventory is holding properly on the correct grids
  • Build and maintain rates, packages within Reservations System per specification of Group Contracts
  • Ensure monthly group contract audits are completed by deadlines
  • Assist with handling any escalations and guest complaints or other reservation concerns
  • Work closely with other departmental Coordinators to be able to assist in all segments as required.
  • Other Duties as assigned
Your experience and skills include:
  • Previous Room Reservations, hotel operations or sales experience is an asset
  • Able to work with little supervision
  • Must display strong analytical, organizational and administrative skills to be able to deal with multiple priorities simultaneously
  • Passion for hotel operations with a strong attention to detail
  • Strong working knowledge of Opera Property Manager System (PMS)
  • Working knowledge of Central Reservations System (CRS) is an asset
  • Strong communication, interpersonal and problem solving skills
  • Excellent written and verbal skills required
  • Strong computer skills with a working knowledge of Word, and Excel
  • Professional Presentation with ability to work well under pressure in a fast paced environment
