RMA Coordinator

GENERAL ACCOUNTABILITY
Reporting directly to the Production Manager, RMA Coordinator will coordinate all aspects of the (RMA) Return Material Authorization process, from post-case creation through to returned good shipment. This role will include prioritizing orders to ensure SLA time commitments are met and the highest level of customer satisfaction possible.
Key Job Responsibilities and Accountabilities:
Upon a customer concern "case" being raised in CRM and transferred to BC, the RMA coordinator will handle all aspects of coordination to ensure product is brought into Romet operations, evaluated, repaired, and returned to the customer in a timely manner
Ensure product is accurately received into ROMET and move to the appropriate location for evaluation and repair
Provide direction and priorities to the RMA operator(s) who are performing the repair, re-certification, or replacement of the product
While most assembly and hands on work will be performed by RMA assembly operator(s), the RMA Coordinator may participate, support, and/or help with evaluation, assembly, and repair as needed
Develop and maintain clear metrics for the "RMA Business" within Romet
Take action to improve customer satisfaction through communication with internal operational teams, Customer Care team and Sales
Support the investigation of the issue and effectively communicate results of investigations
Ensure that quality reports (internal/external) are issued as required, and ensure frequent, effective communication on all corrective actions plans
Work collaboratively with all internal operations teams to minimize time to repair (TTR), while understanding new product production requirements and timelines
All other duties and projects as assigned
Skills and Qualifications:
Proven ability to prioritize, understand timelines and customer requirements
Detail oriented with strong analytical and problem-solving skills
Must have excellent written and verbal communication skills and a basic understanding of ERP Systems, training on specific tasks will be provided
High proficiency with MS Office Suite (Excel and Outlook specifically)
A good overall understanding of Romet products, their components and functions
Able to create, maintain, and report on performance metrics, with abilities to focus and affect results
Strong ability to influence without authority in all areas of the business, through strong communication, empathy and development of strong working relationships
Educational/Experience Requirements:
Minimum of 2 years' experience in coordination or similar role with a minimum of 1 year of internal Romet experience preferred
Experience in machining and assembly environments and understanding of process parameters and controls
Strong mechanical and electrical aptitude
Problem solving and Root Cause Analysis experience
Customer support or product repair experience is and asset
