Risk & Legal Assistant

NAC is currently seeking a Risk & Legal Assistant to join our head office team. Individuals with strong communication and administration skills are encouraged to apply.

POSITION SUMMARY:

The Risk & Legal Assistant provides research and administrative support to the department and provides the Construction Risk Manager with administrative duties related to various committee/meetings, presentations, correspondence, research, and general administrative duties. This position is a key member of the risk/legal team and collaborates with the corporate administrative team and other departments within the organization.

POSITION DUTIES:

  • Actively support the NAC Health & Safety Program and all actions specific to meeting annual HSE goals and objectives.
  • Establish, implement and improve existing workflows and administrative procedures within the department.
  • Act as the point of contact for the department, handling queries relating to risk & legal general insurance, shareholder, invoices & costs, approvals, and other items. Keep applicable personnel informed of progress and any issues that require attention.
  • Lead and coordinate and complete the annual corporate and project related insurance requirements.
  • Collaborate with all projects personnel to coordinate correspondence with the department in the preparation of claims, proceedings, etc.,.
  • Foster communication and maintain electronic documents and files relevant to the department. This includes working with our legal provider to maintain accuracy within our legal portal.
  • Generate and maintain various documentation for the shareholder registry program.
  • Assist, prepare, and distribute project related insurance, bonding, and legal information.
  • Communicate with external stakeholders (i.e. clients, counsel, officials)
  • Track legal costs on a monthly basis and distribute summary to executives.
  • Track external (third-party legal, consultants, etc.) department costs on a monthly and project-by-project basis.
  • Process, track, follow up with billing, invoice, and payment status for risk, legal, and insurance costs.
  • Maintain the organizations business licences to ensure current and up to date.
  • Merge General (GC) and Supplementary (SC) contract documents/reports
  • Prepare and draft various standard letters and coordinate letters of credit.
  • Coordinate and manage: Project related applications, documents for Substantial Completion and Holdback Publications.
  • Obtain project specific bonding as required, working with our third-party provider
  • Manage and disseminate departmental correspondence (i.e. insurance)
  • Maintain monthly project start and performance log.
  • Conduct research as required.
  • Participate in other corporate initiatives as assigned by the Construction Risk Manager/CFO.
QUALIFICATIONS AND ATTRIBUTES:
  • Diploma/Degree in Legal Studies, Political Science, English or equivalent preferred.
  • Superior written and communication skills with enthusiasm and a positive, results-focused attitude.
  • Excellent organization and time-management skills.
  • Proven ability to maintain the confidentiality of information and records.
  • Superior attention to detail.
  • Proven ability to handle multiple priorities in a fast-paced environment.
  • Strong analytical, organizational, and problem-solving skills.
  • Tact, diplomacy, flexibility, listening, and persuasion skills.
  • Insurance/legal background an asset.
  • Strong computer skills (Word, Excel) and an excellent ability to learn new programs (custom databases).
