Summary Accountabilities and Essential Responsibilities:

Reporting to the Manager RFP & Contracting, the RFP and Contracting Specialist is responsible for executing and owning the entire end-to-end RFP process for Requests for Proposals (RFP), Requests for Quotation/Qualification (RFQ) and Requests for Information (RFI) (collectively \xe2\x80\x9cRFx\xe2\x80\x9d) The RFP and Contracting Specialist is also responsible for RFP, RFQ and RFI terms and conditions which includes identifying and red-lining non-standard terms and conditions while collaborating and consulting with business partners, finance partners and Legal counsel.

Fluency Required: English & French

Contract Assignment: Duration of 12 to 16 months with the potential for a permanent full-time employment position at end of contract based upon on performance.

Hybrid Work Schedule: Requires 2 days in office per week, one will be Thursday and the other day employee\'s choice.

Key Responsibilities:

Assist in identifying and qualifying new business opportunities via tendering/bid websites.

Liaise with Contract Specialists to proactively review upcoming RFx\xe2\x80\x99s based on existing contracts/agreements.

Manage the tendering process from RFx review to final submission and/or contract award.

Coordinate and schedule response activity and necessary stakeholder meetings.

Work with subject matter experts to understand the competitive environment for the proposal opportunity and participate in the development of competitive strategies as related to area of expertise/customer/product.

Liaise with customer to seek clarification, address RFx requirements, etc.

Seek internal approvals as dictated by the Management Approval Matrix, file approvals accordingly for audit purposes.

Coordinate, collect and assemble RFx materials and responses into a professional format.

Ensure the final proposal product is of high quality, meets all specifications, is delivered to the customer on time and is archived electronically.

Responsible for ensuring SOX compliance throughout RFx process.

Update RFx/contract databases.

Responsible and accountable for RFx terms and conditions and all legal components of RFx submission/proposals/agreements.

Review RFP document and associated contract templates for legal requirements and contractual obligations.

Identify contractual risks and seek business/legal/functional approvals as required.

Act as a custodian of corporate legal documents and records

Update contracting templates as needed.

Liaise with Customer Order Management to ensure internal compliance with executed contract terms and conditions.

Develop business relationships with internal stakeholders to ensure effective coordination of tendering process.

As required, represent the company at industry events (e.g. MedTech) and stay current with trends.

Contribute to other internal projects as may be deemed necessary.

Qualifications:

Bachelor\'s Degree in Business Administration or related discipline required.

At least 1 year of Contracting experience required.

At least 1 year of RFP experience preferred.

Fluent in both English and French required.

Strong time management skillset required

Proficient in Microsoft Office including Word and Excel knowledge is required.

Strong analytical and mathematical aptitudes

Flexibility and ability to balance competing priorities and juggle multiple projects simultaneously; ability to work under pressure and within tight timelines

Strong communication and interpersonal skills required to liaise with multiple internal departments; ability to read, analyze, and interpret complex contractual documentation; ability to respond effectively and in a timely manner to the most sensitive inquiries or complaints.

General understanding of commercial contract management, including contract strategy development, pricing, product technology, quoting and policy development
