Cafe Manager

Purpose of Role



The Cafe Manager ensures smooth, profitable, and consistent operations of the cafe by overseeing all aspects of staffing, scheduling, inventory, service quality, and financial performance. The ideal candidate has a strong culinary background, ensuring consistant quality in the kitchen operation. This role frees the owner to focus on business growth and expansion while guaranteeing that the cafe operates seamlessly every day of the week.

Key Responsibilities



Operations & Planning



Oversee all aspects of daily cafe operations, including both front-of-house (barista team) and back-of-house (kitchen team). Ensure the cafe runs smoothly 7 days a week, with proactive planning so that days off for the manager do not disrupt operations. Monitor sales performance, adjust schedules and labour hours to stay within budget targets (aiming for 30% or less). Implement and enforce cafe policies, procedures, and standards for consistency across both food and beverage service.

Staff Management



Hire, train, schedule, and supervise staff across all roles (baristas, line cooks, dishwashers). Conduct regular check-ins and performance feedback for all team members. Support Shift Supervisors in accountability and ensure strong leadership presence on all shifts. Foster a positive, respectful, and high-performing work culture.

Inventory & Ordering



Manage and coordinate all ordering for both coffee and kitchen sides (ingredients, supplies, equipment). Track inventory levels and reduce waste through efficient systems. Work with vendors to maintain strong relationships and negotiate pricing when needed.

Quality Control & Customer Experience



Maintain high standards for coffee and food quality. Partner with Head Barista and Kitchen Lead to ensure consistent recipes, training, and service delivery. Monitor customer feedback and resolve service issues promptly and professionally.

Financial & Administrative



Monitor cafe budgets, labour costs, and sales to achieve financial targets. Review daily/weekly sales reports and make adjustments to improve profitability. Coordinate with outsourced bookkeeping for payroll, invoicing, and accounting.

Leadership & Communication



Act as the primary point of communication between staff and ownership. Provide regular updates on operations, challenges, and progress, no surprises. Proactively problem-solve and make confident decisions in the moment.

Qualifications



3+ years of cafe, restaurant, or hospitality management experience. Strong organizational and prioritization skills, able to juggle multiple fronts without dropping the ball. Proven ability to manage both FOH and BOH teams. Knowledge of specialty coffee standards and food service operations. Solid financial literacy: scheduling to labour budgets, interpreting sales data, managing costs. Excellent leadership, coaching, and communication skills.
