La soci\xc3\xa9t\xc3\xa9 est bas\xc3\xa9e \xc3\xa0 Laval (Canada) depuis 2002 et poss\xc3\xa8de des bureaux aux \xc3\x89tats-Unis, au Moyen-Orient, en Asie en en Am\xc3\xa9rique Latine.

Progesys est actuellement \xc3\xa0 la recherche d\'un(e) Responsable Administratif (ve) / Office Manager pour se joindre \xc3\xa0 son \xc3\xa9quipe du bureau de Laval.

Responsabilit\xc3\xa9s :

  • Soutenir de nombreuses op\xc3\xa9rations quotidiennes, y compris les arrangements de voyage internationaux et nationaux
  • Donner un soutien administratif complet \xc3\xa0 l\'\xc3\xa9quipe de gestion
  • Recevoir et filtrer les appels t\xc3\xa9l\xc3\xa9phoniques et le courrier. R\xc3\xa9pondre personnellement \xc3\xa0 autant de demandes que possible, en renvoyant les demandes de renseignements restantes aux personnes appropri\xc3\xa9es au sein de l\'entreprise
  • Organiser des r\xc3\xa9unions et fournir des rappels aux r\xc3\xa9unions et effectuer les comptes rendus
  • Suivi des emails
  • R\xc3\xa9diger ou r\xc3\xa9viser la correspondance et d\'autres documents
  • Aider les membres ex\xc3\xa9cutifs \xc3\xa0 g\xc3\xa9rer les \xc3\xa9l\xc3\xa9ments d\'action et les priorit\xc3\xa9s
  • V\xc3\xa9rifier et pr\xc3\xa9parer les horaires de voyage des employ\xc3\xa9s sur les projets et effectuer les r\xc3\xa9servations
  • Aider aux exigences de voyage (visas, etc.)
  • Planifier et organiser des \xc3\xa9v\xc3\xa9nements / conf\xc3\xa9rences
  • Faire des rapports de d\xc3\xa9penses pour les cadres
  • Gestion de bureau (commande de fournitures de bureau, etc.)
  • Balance des d\xc3\xa9penses de carte de cr\xc3\xa9dit
  • Pr\xc3\xa9parer les envois avec diff\xc3\xa9rents services de messagerie
  • Administrer Microsoft Office 365 (\xc3\xa9mettre des adresses e-mail, des licences et des mots de passe)
  • Administrer l\'automatisation des services professionnels Financial Force (PSA) pour Salesforce (ajouter des contacts et des ressources, cr\xc3\xa9er des projets, effectuer des affectations)
  • Examiner les documents pour la gestion
  • Commander des articles promotionnels / v\xc3\xaatements
  • Toutes autres t\xc3\xa2ches connexes
Qualifications et comp\xc3\xa9tences :
  • DEP en bureautique ou l\'\xc3\xa9quivalent
  • Minimum de 10 ans d\'exp\xc3\xa9rience en administration ou gestion
  • Aptitude \xc3\xa0 travailler dans un environnement o\xc3\xb9 les activit\xc3\xa9s se d\xc3\xa9roulent \xc3\xa0 un rythme rapide, o\xc3\xb9 plusieurs dirigeants exigent de l\'attention et g\xc3\xa8rent le temps judicieusement.
  • Excellentes comp\xc3\xa9tences en communication orale et \xc3\xa9crite en anglais et en fran\xc3\xa7ais (Le bilinguisme est requis pour cette position puisque l\'employ\xc3\xa9 devra communiquer avec des parties prenantes ne parlant pas le fran\xc3\xa7ais)
  • Capacit\xc3\xa9 de g\xc3\xa9rer plusieurs priorit\xc3\xa9s et de travailler avec des d\xc3\xa9lais serr\xc3\xa9s
  • Bonnes capacit\xc3\xa9s de jugement et engagement \xc3\xa0 maintenir la confidentialit\xc3\xa9
  • Excellentes comp\xc3\xa9tences humaines / interpersonnelles
  • Flexibilit\xc3\xa9 d\'\xc3\xaatre disponible en dehors des heures normales de travail pour fournir un soutien sur des questions urgentes ou pour respecter des d\xc3\xa9lais serr\xc3\xa9s
  • Effectuer des t\xc3\xa2ches en priorisant la maintenance de la relation client
  • Haut niveau de ma\xc3\xaetrise de l\'utilisation des programmes Microsoft Office
  • Exceptionnellement organis\xc3\xa9 avec la capacit\xc3\xa9 de prioriser efficacement
  • Capacit\xc3\xa9 \xc3\xa9tablie d\'apprendre et de contribuer rapidement

Progesys is currently looking for an Office Manager - Executive Assistant to join her Laval office team.

Responsibilities:
  • Support many of the day to day operations, including international and domestic travel arrangements
  • Give full administrative support to management team
  • Receive and screen telephone calls and mail. Personally respond to as many inquiries as possible, referring remaining inquiries to appropriate individuals within the company
  • Arrange meetings & provide reminders
  • Assist in meetings and take minutes
  • Follow up on emails
  • Draft, review or revise correspondence and other material
  • Assist executive members in managing action items and priorities
  • Check and prepare travel schedules for employees on projects and make travel arrangements (airline tickets)
  • Assist in travel requirements (visas, etc..)
  • Plan and organize events/conferences
  • Do expense reports for executives
  • Office management (order office supplies, etc..)
  • Balance credit card expenses
  • Prepare shipments with different courier services
  • Administer Microsoft Office 365 (issue email addresses, licenses and passwords)
  • Administer Financial Force Professional Services Automation (PSA) for Salesforce (add contacts and resources, create projects, make assignments)
  • Review documents for management
  • Order promotional articles/clothing
  • All other related tasks
Skills and Qualifications:
  • DEP in secretarial studies, administration or equivalent
  • Minimum of 10 years experience in administration or management
  • Ability to work in a fast-paced environment, with multiple leaders requiring attention and manage time wisely
  • Excellent oral and written communication skills in both English and French
  • Ability to manage several priorities and to work with tight deadlines;
  • Strong judgement skills and commitment to maintaining confidentiality
  • Excellent people/interpersonal skills
  • Flexibility to be available outside of normal work hours to provide support on urgent matters or to meet tight deadlines
  • Perform tasks prioritizing maintenance of client relationship
  • High level of proficiency in the use of Microsoft Office programs
  • Exceptionally organized with the ability to prioritize effectively
  • Established ability to learn and contribute quickly
  • Attention to detail: Work in a conscientious, consistent and thorough manner
  • Initiative: Deal with situations and issues proactively and persistently
  • Resilience: Remain energized and focused in the face of ambiguity, change or strenuous demands
