As local representatives of Gulf Pacific, the mission of the operations team is to uphold the highest standard of building maintenance in property management. The operations team is responsible for maintaining a high level of communication with tenants to ensure their requests and concerns are addressed effectively and efficiently.
THE OPPORTUNITY
Reporting to the Property Manager, the Resident Manager will be responsible for the safe and efficient operation of the building and its common areas, including the building's heating, cooling, and ventilation systems. As the Resident Manager, you will ensure all mechanical equipment is kept in excellent order by conducting daily walk-throughs of all mechanical areas and common areas. Responsibilities include supervising service contractors, administering preventative and corrective maintenance programs, and performing diagnostic services related to the environmental control systems within the building.
THE ROLE
As the Resident Manager, you will assist the team to:
Ensure the common areas of the building (including but not limited to) are clean, free from obstructions, in good repair, and exhibit an aesthetic appearance to tenants and their guests:
Entrance(s) and lobby
Walkways and curbs
Hallways
Laundry Room
Storage Areas
Garages and driveways
Boiler room, elevator room(s), and electrical room(s), if applicable
Ensure the grounds are:
Free of debris
Walkways are clean, including snow removal before 8:00 a.m. and during the day as necessary and the laying of ice melt/ice salt as required
A desirable curb appeal is maintained at all times for the property
Undertake minor repairs including:
Replacing defective:
Light bulbs/tubes in common areas and vacant units
Faucet washers/taps/diverters
Stove and oven heater elements
Light switches and lighting fixtures
Replacing black (old) electrical plugs and covers
Locks and arranging for locks to be rekeyed
Plaster and drywall patching in vacant and occupied suites and common areas
Touch-up painting in vacant and occupied suites and common areas
Suite painting at month-end turnover (up to one unit per month)
Miscellaneous plumbing, including toilet/drain auguring, zone valve repairs/replacement, minor temporary pipe repairs, and replacement of toilet parts
Suite upgrades, including replacing "older" lighting fixtures, bathroom vanities, countertops, and more
Repairing ceiling following pipe leaks or other water-related damage
Performing all repairs that do not require the services of a licensed trade
Coordinate with contractors engaged to undertake scheduled maintenance, repairs, and building improvements. The Resident Manager is responsible for checking the work performed by contractors to confirm satisfaction.
ADMINISTRATIVE AFFAIRS
The Operations Person working with the Property Manager shall:
Receive and verify the accuracy of invoices and goods & services received:
Quantities ordered/purchased
Prices
Terms of payments
Submit acceptable invoices to the head office for payment in the prescribed manner.
Maintain accurate and complete files on all suites in the manner prescribed by head office.
Maintain a list of persons and organizations to contact for various emergencies, ensuring the Property Management office receives updated contact information for all building contractors/tradespeople.
Submit weekly/monthly computerized reports of activities, including but not limited to:
Work performed in the maintenance of lands and buildings
Status of work performed on projects and tasks assigned by the Property Manager
Assist in the preparation of the Annual Budget.
Submit a Monthly Report on the 1st working day of each month, listing items such as maintenance completed, fire safety, and insurance issues.
Work with the Property Manager to complete an annual inspection of all suites and maintain a suite condition report for each unit.
Take before-and-after pictures of repair and replacement work and send them to the Property Manager for the monthly report.
Complete monthly computerized parking and pet logs and submit them to the property management office.
Complete work orders in the electronic system with comments and tenant signatures to close the work orders properly.
Respond promptly to phone messages, texts, and emails from the property management office during regular business hours, unless it pertains to an emergency.
Assist the Property Management office with tenant events, collecting monthly rent, delivering tenant notices/letters, and posting building notices in elevators and around the building.
Rent suites, including advertising, showing the suites, accepting applications for tenancy, running credit checks, completing tenancy agreements, and inspecting suites for damage. Correctly fill out and file the Tenant move-in and move-out sheets.
Collect, bank, and record all rents.
OTHER RELATED DUTIES
Other related activities as directed by the Head Office or the Property Manager.
THE QUALIFICATIONS
The Resident Manager has:
Experience in property management and building operations.
Experience with Angus and Yardi Voyager/Breeze, strong computer skills with an emphasis on Microsoft Office.
Excellent interpersonal and leadership skills, with the ability to supervise and mentor staff.
A strong work ethic, sense of confidentiality, and professionalism.
Ability to meet tight deadlines and work in a fast-paced environment.
Self-motivated with strong analytical and problem-solving skills.
Ability to use a variety of tools and general handy-person skillset.
