Position Overview:



We are seeking a highly organized and hands-on Resident Manager (Live on site) to oversee the day-to-day management of residential complex (110 units) located in Winnipeg. The ideal candidate will possess strong maintenance, repair, and tenant management skills. This position requires a responsible individual who can balance maintenance duties, tenant relations, leasing activities, and administrative tasks, while being available for emergencies 24/7.

Key Responsibilities:



1. Property Maintenance & Repair:



Grounds Maintenance:

Conduct weekly property inspections & minor touch up to ensure cleanliness and maintenance of exterior areas. Monitoring contractors to do litter and dog waste removal, pruning and shaping of shrubs and trees, ensuring mulch and gravel are properly in place, and weed control.

Exterior Cleanliness:

Maintain exterior areas at all times, including clearing garbage around bins, ensuring boxes are flattened for recycling, and arranging additional garbage pickups during move-ins/outs. Monitoring contractors to do cleaning.

Seasonal Responsibilities:

Disconnect sump pump hoses before winter (by October 15) and reinstall them by April 15 annually. Shut off outdoor water supplies, ensure baseboard heaters in mechanical rooms are set correctly, and monitor roof conditions for missing shingles or iced-up vents.

Winter Care:

Monitor snow removal contractor performance, sand slippery areas, and ensure the safety of entrances and walkways. Shovel or sweep decks and sidewalks as needed, especially during the spring thaw.

General Maintenance:

Conduct annual and semi-annual inspections of each suite and building exterior, replacing furnace filters, and documenting necessary repairs. Yearly tasks include lubricating patio doors, cleaning main plumbing drains, assisting contractors with fire alarm tests, HVAC cleaning, backflow prevention, and dryer vent cleaning every two years.

Small Repairs:

Address tenant repair requests promptly, performing minor electrical, plumbing, HVAC, carpentry, and painting tasks as needed. Perform move-in and move-out repairs promptly.

Contractor Supervision:

For larger repairs, coordinate and supervise contractors to ensure quality work. Obtain quotes and invoices, ensure approval for repairs not exceeding $300, and submit necessary paperwork to the property management team.

2. Emergency Response:



On-Call 24/7:

Be available at all times to respond to emergencies such as fires, water leaks, or other urgent situations.

Fire Response:

Investigate fire alarms thoroughly and reset the system if no real fire is detected. In the case of an actual fire, coordinate with emergency services.

Water Emergencies:

Address water leaks immediately by shutting off the source and arranging repairs. Clean and dry affected areas to prevent water damage.

3. Resident Management:



Tenant Relations:

Act as the primary point of contact for tenants, addressing their needs, responding to repair requests, and handling complaints in a timely manner.

Lease Management:

Assist with leaseholder assignments, renewals, and parking management. Deliver notices regarding rent collection, parking regulations, noise complaints, smoking policies, and other resident issues.

Rent Collection:

Collect overdue rent, log payments, and ensure proper entry into Excel records. Manage communication with the head office for payments and deposits.

4. Leasing and Tenant Turnover:



Suite Information:

Provide prospective tenants with detailed information about available suites, including floor plans, amenities, and costs. Be knowledgeable about nearby facilities, such as schools, shopping centers, and transit.

Viewings and Applications:

Respond to rental inquiries through phone, email, text, and social media. Pre-screen applicants and schedule viewings with qualified candidates, including after business hours or on weekends as per their availability. Process rental applications, ensuring all required documents are complete and submitted to management for approval.

Move-In Process:

Ensure suites are ready for new tenants, complete necessary paperwork (UCR form, pet policy, parking agreements), and take hydro readings. Remind tenants of key policies (e.g., garbage disposal, tenant insurance).

Move-Out Process:

Conduct pre-move-out inspections, create repair lists, and coordinate necessary work to ensure the suite is ready for the next tenant. Record hydro readings and manage tenant move-out procedures effectively.

5. Administrative Duties:



Record Keeping:

Maintain accurate records of maintenance, tenant communications, repairs, and other property-related activities. Update and manage digital files, including invoices, inspection reports, and leasing documents, using designated software and cloud storage systems.

Invoice Management:

Gather contractor invoices, ensure accuracy, and submit them to the management team for payment. Coordinate with the head office to deduct repair costs from security deposits when applicable.

Inventory Management:

Keep detailed records of equipment and materials at each property. Purchase necessary materials for repairs (under $200) and submit invoices for reimbursement bi-monthly.

Job Requirements:



Must live on site Clear criminal record check required Previous experience (Minimun 1 year) in property management or a similar role. Strong understanding of building maintenance, including light electrical, plumbing, carpentry, and HVAC repairs. Excellent communication and interpersonal skills, with the ability to manage tenant relations effectively. Strong organizational skills and the ability to manage multiple tasks and priorities. Proficiency in using Microsoft Excel, cloud-based systems, and basic office software for record-keeping and communication. Ability to be on-call 24/7 for emergencies. Valid driver's license and reliable transportation.

Schedule:



Monday to Friday (flexible hours), with availability required for emergencies or tenant needs outside regular business hours, including showing available units to prospective tenants based on their availability. Weekends as needed for emergencies or to show units to prospective tenants.
