Location - This role is hybrid with a mix of remote and in-person work at North Campus, Edmonton.
Position Summary
We are seeking a highly organized and skilled Research Communications & Administrative Assistant to join a dynamic team in the Department of Civil and Environmental Engineering. Working closely with the team's Research Communications Coordinator, this role will provide comprehensive writing, editing and administrative assistance to support the research operations of Transportation Engineering faculty. This includes drafting project communication materials, editing scholarly material and completing administrative processes.
This role works closely with a multidisciplinary team of researchers, staff and students with the ultimate goal of advancing high-quality research and making transportation more effective for all. If you desire to make a true impact on our community, we want to hear from you.
Responsibilities:
Editing/Writing (50%):

  • Provide technical editing, formatting, and proofreading for academic journal articles to be submitted for publication (and related correspondence with journal editors) and conference papers for presentation
  • Provide editing and proofreading for theses of students supervised by Transportation faculty members
  • Edit, proofread, or assist with writing grant funding proposals
  • Edit, proofread, or assist with writing project reports (technical, progress, etc.) for submission to collaborators or funding agencies
  • Draft letters for faculty and students
  • Draft award nomination materials for faculty members
  • Draft and edit correspondence as required by faculty members
Administration (50%):
  • Provide general administrative support, including but not limited to:
  • Schedule meetings, prepare agendas/minutes and supporting materials, set up teleconference links or room bookings.
  • Complete hiring processes for new graduate students and staff (drafting job postings, scheduling interviews, completing hiring paperwork, setting up office space, Onecard/key access, etc.)
  • Assist with financial administration (ordering equipment and supplies through SupplyNet, completing expense reports)
  • Create and maintain spreadsheets and/or databases using Excel / Google Sheets (student lists, journal submissions, etc.)
  • Assists the Research Communications Coordinator with other administrative tasks as needed
Qualifications:
Minimum Qualifications
  • Bachelor's degree in a relevant field
  • Excellent writing and editing skills with a keen attention to detail
  • Ability to work collaboratively in a diverse, multidisciplinary team environment
  • Ability to multi-task and manage time without losing attention to detail.
  • Excellent computer skills with demonstrated proficiency in the following programs: Google Suite (Gmail, Docs, Sheets, Drive); MS Office Suite (Word, PowerPoint, and Excel).
Preferred Qualifications
  • Degree or experience in Transportation Engineering or a related technical field
  • Experience with HCM/PeopleSoft
