The department is committed to imaging research and postgraduate medical education.PositionThe incumbent will provide senior-level support to several faculty members in the Department of Radiology & Diagnostic Imaging who hold Research Chairs and funding external to the department. Under the direction of the Department Coordinator, the incumbent is responsible for ensuring the smooth and efficient day-to-day operation of research and data collection activities including supporting the principal investigator to ensure compliance is met with all procurement and financial activities.Duties

  • Provides diversified administrative support to five full-time Academic Radiologists
  • Coordinates calendars, must be able to overview the activities and prioritize multiple tasks and schedules, including compiling anticipated background and reference material for meetings
  • Composes, types and edits a wide variety of materials including complex and confidential correspondence, including administrative and technical correspondence utilizing dictating and transcribing materials
  • Take initiative and be flexible and have a high level of tact, judgement and discretion, as well as the ability to maintain and ensure absolute confidentiality
  • Create, modify and maintain efficient and accurate databases and filing systems
  • Prepare electronic research grant proposals and applications for ethical review as required, ensuring adherence to granting agencies or ethics board guidelines
  • Types and formats of documentation related to the development of clinical and research protocols, clinical practice guidelines and standard operating procedures
  • Purchasing research supplies, equipment and services using preferred methods of payment
  • Compiling supporting documentation for monthly reconciliation on eTrac reports or corporate cards
  • Equipment Asset Tag Management
Other Duties as assigned
  • Perform monthly account reconciliation and prepare monthly financial reports on research grants, investigating discrepancies between account transactions and account balances
  • Process travel and professional expense claims as required, ensuring compliance is being met
  • Review financial transactions, commitments, and available funding to ensure each research project is on target with spending plans, funding schedule, and overall project budget
  • Track invoices and provide a summary explanation of all significant budget expenditures
  • Perform monthly reviews of revenues and revenue forecasts.
  • Prepare expenditure forecasts, conduct analysis to ensure optimal use of resources, identifying variances and making recommendations of appropriate budget adjustments
Minimum Qualifications
  • Minimum post-secondary degree or diploma in a related discipline, equivalent combinations of education and experience will be considered
  • Demonstrated competence and aptitude for working with technology.
  • Demonstrated ability to differentiate between solving a symptom vs. identifying the root issue
  • Demonstrated ability to address current problems, while projecting and preventing potential future issues
Preferred Qualifications
  • Knowledge of PeopleSoft Financials, SupplyNet
  • Demonstrated knowledge of University regulations, especially in the areas of research grant governance, procurement practices, UAPPOL policies, and contract for services.
  • Strong organizational and time management skills, an ability to complete tasks and deliver expected outcomes under tight deadlines
  • Demonstrated ability to communicate effectively, and collaborate with business users/stakeholders
