The Research Events and Administrative Coordinator is responsible for providing senior-level administrative and event support to the Schulich Momentum Directors, whom oversee the six priority research areas outlined in the Schulich School of Engineering (SSE) strategic plan.
Reporting to the Manager, Research and Inclusion, the position is based at the University of Calgary's main campus. It is a full-time, limited-term role, and is part of the AUPE bargaining unit. Work hours are Monday to Friday, 8:30 am to 4:30 pm, for 35 hours/week. Some evening and weekend hours may be required during peak periods. In alignment with the operational needs of the Dean's Office, this position is an in-person, on campus role with no remote workdays. This is a project position expected to end September 30, 2026.
Summary of Key Responsibilities
(job functions include but are not limited to):
Administrative Support
Liaise with Schulich Momentum Directors and the Momentum Research Coordinators (or equivalent).
Maintain documentation and processes for tracking faculty involved in each Area of Strength.
Manage multiple inboxes, calendars, and room bookings for the Schulich Momentum Directors, handling inquiries efficiently.
Provide administrative support for strategic projects and meetings, including scheduling, reporting, evaluation, preparing materials, and note-taking.
Assist with budget monitoring, reconciliation of expenses, and financial tracking , ensuring accuracy and adherence to policies.
Develop evaluation and tracking procedures to gather long-term, results-based data for assessing program and event effectiveness.
Maintain comprehensive files for all Schulich Momentum Areas of Strength.
Proactively identify and suggest improvements to streamline processes and enhance efficiency.
Events Coordination
Coordinate full-cycle event planning, execution, and evaluation, including creating event briefs, scheduling, assisting with communications, procuring supplies, coordinating logistics and catering, and arranging audio-visual needs.
Maintain the Schulich Momentum Events calendar.
Build and maintain productive relationships with internal campus units and external community partners.
Evaluate event success and implement improvements for continuous advancement.
Operate with high energy, flexibility, and creativity in a dynamic environment with shifting priorities and tight deadlines.
Other duties as assigned
Qualifications / Requirements:
Post-secondary Degree or Diploma with a minimum of 2 years of directly related administrative experience, or an equivalent combination of education and experience.
Strong organizational, problem-solving, data-management and time-management skills.
Excellent verbal and written communication skills.
High degree of flexibility, with the ability to anticipate and adapt effectively to changing priorities.
Demonstrated professionalism, tact, maturity, and judgment, with strong attention to detail and the ability to produce work with a high degree of accuracy.
Collaborative team player capable of building positive relationships with faculty, staff, and stakeholders across campus and externally.
Proficient in Microsoft Office Suite (including Power BI), PeopleSoft, email applications, and web-based systems, with the ability to quickly learn new systems as needed.
Previous event planning experience is an asset.
Physical stamina, including the ability to assist with event setup.
