Research Administration CoordinatorPrimary Purpose: The Department of Family Medicine is a large, complex, and provincially distributed medical education program in the College of Medicine at the University of Saskatchewan and is dedicated to excellence in patient care, teaching and learning, research, and administration. The Research Administration Coordinator will provide research support within the Department of Family Medicine's research division, working with faculty, residents, graduate students, undergraduate medical students, and patient partners.Nature of Work: The Research Administration Coordinator is a critical team member in the Family Medicine Research Division, providing essential administrative and research support to faculty, residents, undergraduate medical students, patient partners and the wider Research Division. The individual will work closely with the department's Research Director and research team, playing a key role in enhancing research and scholarly activities within the Department of Family Medicine. The position involves managing various tasks, often without formal guidelines, requiring strong organizational, communication, and problem-solving skills.The incumbent will demonstrate a high level of diplomacy and professionalism while contributing to achieving Departmental, College and Institutional Strategic Directions. This position will work to ensure respectful and ethical approaches to scholarship/research while at the same time maintaining a positive environment within the Department of Family Medicine, University of Saskatchewan, and throughout the province.Typical Duties and Accountabilities:Research and Scholarly Support:

  • Assist the Research Division in accomplishing responsibilities aimed at enhancing scholarly activity within and external to Saskatchewan.
  • Support the organization and coordination of scholarly events such as Resident Scholarship Day and Faculty Scholarship Day.
  • Organize and coordinate Zoom/TEAMs meetings for Check-In/Huddles, Meetings of the Site Scholarship Leads, Resident Scholarship Team meetings and other research team meetings.
  • Co-create an Action List from the Check-In/Huddles and other research team meetings.
  • Assist with the preparation of grant applications, including CIHR PINs and CCVs; providing administrative support throughout the submission process.
Administrative and Technical Tasks:
  • Assist with maintaining and updating scholarly activity-related content for the Executive Committee Meetings and the Department's website.
  • Perform data entry, transcription of questionnaires, interviews, or focus group materials, and maintain records and files for research projects.
  • Develop and maintain organizational databases, online survey platforms, and digital repositories to ensure quality data management.
  • Ensure data integrity by cleaning, validating, organizing files, and correcting data entry errors.
Grant and Research Project Assistance:
  • Assist faculty with updating and maintaining CV data and research profiles across systems.
  • Assist with the use of Cite it Right for to ensure NLM referencing for grant applications and manuscripts.
  • Assist faculty with UnivRS for pre-grant approvals prior to submitting funding applications.
  • Assist with document management for Nominations and Award Submissions.
Collaboration and Special Projects:
  • Collaborate in interdisciplinary and participatory approaches as a member of the research team.
  • Contribute to special strategic projects that aim to enhance practice improvement (quality improvement, use of local data and research activities) within the department.
Miscellaneous:
  • Assist with scheduling meetings, documentation management, and coordinating communication with various members of the research team.
  • Perform other related duties as assigned by the Director, Research Division.
Qualifications:Education: A minimum of 3 years of education/training/experience in a relevant related field. A Master's degree in a relevant field such as health sciences, education or social sciences would be considered an asset.Experience: Minimum of 3 to 5 years of experience in administrative support, data management (including data entry and cleaning), and event coordination, preferably within a university or academic setting. Familiarity with medical terminology and research language is required. Experience working in diverse and inclusive environments is required. Knowledge of the University of Saskatchewan rules, regulations, policies and procedures would be an asset.Skills: A high level of performance competency in personal effectiveness and collaborative relationship-building, as well as communication in a sensitive and confidential environment; adaptation to a changing environment; and ability to perform multiple projects and tasks with numerous competing demands and tight deadlines while paying attention to detail and maintaining a high degree of accuracy. Work is to be performed independently and collaboratively within a team environment. Effective organizational, interpersonal, communication (both verbal and written) and organizational skills; ability to handle interactions and effective exercising of judgment with tact, diplomacy, discretion, confidentiality, and cultural humility, including the ability to communicate effectively with individuals from various cultural backgrounds; self-motivated with strong creative thinking and reasoning, the ability to follow direction and at the same time exercise initiative when required; excellent problem solving and analytical skills; personal and professional integrity; proven proficiency in computer applications including word processing, spreadsheets and databases (i.e. Microsoft Office) are essential. Knowledge of University of Saskatchewan software and databases are required.
