We are seeking a detail-oriented and organized Reporting Specialist to join our team. The successful candidate will play a key role in maintaining efficient office operations, overseeing payroll, managing compliance documentation, and ensuring effective communication across departments. Successful candidate must have a flexible schedule as working hours can range from a minimum of 4 hours to up to 8 hours per day.
Key Responsibilities:
Manage daily office operations and administrative tasks
Process bi-weekly payroll accurately and on time
Maintain employee records and ensure compliance with payroll regulations
Upload and organize company documents into shared systems/databases
Prepare and submit bi-weekly reports to management
Review and submit CVOR records and required documentation to the Ministry of Transportation (MTO)
Maintain vehicle files, insurance, registration and drivers hours of service
Answer phone calls, emails, and handle correspondence in a professional manner
Maintain and organize filing systems and records
Schedule meetings, prepare agendas, and coordinate calendars
Assist with HR functions such as onboarding and employee documentation
Support financial processes including invoicing, expense tracking, and reporting
Monitor office supplies and coordinate with vendors
Provide general support to staff and management as needed
Working in conjuction with the mechanic, monitor, coordinate and schedule fleet maintenance and repairs working (i.e. Create and update work orders for repairs to all equipment, create requesitions for outsourced work and parts orders, enter hours charged, upload and file documents associated with work orders)
Organize and execute various duties at direction of the Operations Manager and/or CEO
Qualifications:
Proven experience as an Office Administrator, Administrative Assistant, or similar role
Experience with payroll processing and related software (e.g., Payworks, Ceridian, QuickBooks, or similar)
Familiarity with CVOR compliance and MTO submissions considered an asset
Strong organizational and time management skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Ability to multitask and prioritize effectively
Professional and positive attitude with strong interpersonal skills
High attention to detail and problem-solving abilities
