Tsawwassen First Nation (TFN) is a self-governing First Nation that delivers a wide range of community services, including all of those typically delivered by municipalities. The Lands Department is responsible for the delivery of all planning, development, and engineering related services. The Community is amid a significant development program, which includes the development of commercial, industrial, and residential properties. Along with the review and approval of the engineering infrastructure to support this development, the Lands Department is also responsible for assuming the ongoing maintenance and management of the infrastructure.
TFN is seeking a qualified individual to join our Lands Department in the permanent full-time position of Rental Properties Custodian. The Lands Department seeks an individual with outstanding customer service and interpersonal skills to join their team. In this role you will be primarily responsible for providing Property Management related support to Property Manager Supervisor and the Lands and Housing Manager along with providing administrative support to the Lands department.
The Rental Properties Custodian reports to the Property Manager Supervisor and must maintain effective working relationships with other staff members, Chief and Council, community members and the public.
Position Summary:
Daily walk through of all TFN rental properties, ensuring the buildings are safe and tidy
General minor garbage pick-up through the rental complexes' grounds
Schedule and assist with tenant move-ins and move-out at sites
Attend move-in and move-out inspections, summarize items that will require repairs and renovations for Property Management and Facilities
Follow up with Facilities team on repairs and renovation action items
Assist with 3rd party contractors at sites (e.g. obtaining quotes or chaperoning during a repair or renovation)
Security checks on the rental buildings (locking doors, outdoor lighting, tripping hazards, etc.)
Liaison with TFN Facilities in obtaining quotes, research products and timelines to delivery
Warranty database, warranty certificates library, expiration dates tracking and liaison with management on upcoming deadlines
Inform staff of any warranty deficiencies reported by tenants or discovered during inspections
Tracking Annual Inspections calendar, schedule and attend annual inspections at site, along with TFN Facilities
Light maintenance-related duties; assist Facilities with maintenance/repairs at rental buildings
Tenant training and support with unit-maintenance
Creating user manuals for appliances. Supporting tenants with appliances troubleshooting
Rental units and TFN rental building pictures database maintenance/network files
Vehicles and parking inventory; pet inventory, liaison with TFN Bylaw and Prop Management on TFN Bylaw parking rules enforcement and Tenancy Agreements
Planning, organizing, and training on building specific Emergency Response Plans and interface with primary Community Emergency Response Plans - Liaising with stakeholders to organize fire drills. Coordinating training for tenants
Maintain inventories and order necessary supplies as directed
Supporting Property Management team and Facilities with proactive maintenance/cyclical items scheduling (spring power washing, pest control, vents cleaning, filter replacements, seasonal type of repairs planning and scheduling)
Developing and maintaining documents for property logs
Maintain registry for key allocation
Maintenance of TFN Property Management vehicle (gas, car wash, oil change, etc.)
Cultivate positive relationships with tenants to empower them in conducting their own rental unit maintenance
Prepare Tenant Notices and tenant related correspondence and Notices delivery to residences
Triage or handle tenant complaints in a professional customer service focused manner
Additional duties as assigned by supervisor
Qualifications:
Custodian, caretaker or maintenance related skills
Strong attention to detail, accuracy and organizational skills; with the ability to multi-task and prioritize. Working as part of a team and on your own initiative is essential
Health and safety awareness and knowledge is essential
Intermediate to advanced skill level in MS Office, including Word, Excel, and Outlook
Experience conducting minor and routine maintenance using basic hand tools and cleaning equipment preferably in multi-unit residential buildings
Strong written and verbal English communication skills
The ability to respond to issues with diplomacy and tact while communicating in a clear and concise manner
Ability to de-escalate situations to communicate respectfully and problem-solve with tenants
Knowledge of the Residential Tenancy Act and privacy and protection legislation
The ability to set priorities and handle several different issues at one time while maintaining safety and efficiency. Experience using Tempest/Lucity or similar asset Management tools an asset
A diploma or certificate in a related field or equivalent experience
CPR/OFA Certification an asset (or willingness to obtain the paid training)
BC Class 5 Drivers License required
Wages:
Pay scale for this position is $33.26 to $35.22 per hour with excellent benefits including enrolment in the BC Municipal Pension Plan. Placement within the pay scale is based on a review of skills, experience & internal equity.
Working Conditions
:
Work is performed in a combination of outdoors and indoors and will be required to visit sites and development areas on a daily basis. Hand-eye coordination and fine manipulation skills are necessary to operate office technology and custodian related equipment.
May move heavy objects, equipment and supplies. While outdoor, exposed to weather elements at times.
This is a regular full-time 40 hours per week position based out of the office on TFN Lands.
Core hours are 10:00 am to 6:30 pm. Will include rotating on-call shifts after hours with several other staff members primarily requiring availability by phone with occasional need to go on site for urgent matters. Field Dress Code required, as per TFN's direction.
