Prompton Real Estate Services Corp. is an established real estate brokerage with offices in Downtown Toronto and North York.

We are currently looking to add a full-time Rental Co-ordinator to our growing team of professionals. This role will provide the successful candidate with an opportunity to work with a growing team of dynamic individuals in a fast-paced environment.

THE OPPORTUNITY


The ideal candidate will provide rental management support to ensure efficient operation of the department. This position requires someone that is highly motivated, detail-oriented and has the ability to "think outside the box". A customer service, property management or real estate background would be a definite asset.

REPONSIBILITES AND SKILLS


The candidate would be responsible for, but not limited to, the following scope of responsibilities:

Drafting and organizing new lease documents and pertinent owner information. Facilitating the exchange of lease documentation and tenant registrations with building management. Initiating tenant onboarding processes including welcome emails and registration forms. Setting up new tenant accounts into the system. Facilitating communication between Annual General Meetings (AGMs) and landlords. Issuing condo fee notices and managing budget packages for landlords. Managing financial transactions such as surplus release requests and cash statement distribution. Coordinating tax document distribution to landlords and addressing related inquiries. Handling tenant repair requests and liaising with contractors for entry. Facilitating contractor access for repair work and customer care in new building setups. Establishing utility, condo fee and property tax payment setups on behalf of landlords. Providing repair quotes and notifying landlords upon completion of repairs. Managing administrative tasks including filing documentation and liaising with legal representatives for tenant late payment, damages or violation applications. Representing landlords in tribunal hearings and facilitating eviction procedures when necessary. Conducting move-out inspections. Managing Tarion accounts and filings (30 Day / Year End inspections and filings). Documenting property inspections (photos and completing checklist). Managing lease renewals, rent receipts, termination agreements, and LTB notices. Preparing management contracts for new clients. Processing rent payments and updating spreadsheets. Initiating and managing insurance claims. Build and maintain strong relationships with tenants and property owners Represent the company professionally during client meetings and networking events Identify and pursue new property management opportunities to grow the portfolio

EXPERIENCE AND BACKGROUND



Must have a minimum of 2 years' experience working in a similar role (customer service and/or real estate/property management preferred); High school diploma or equivalent education required; Canadian postsecondary education in Business Administration, Property Management, Accounting, or Real Estate is an asset Preference will be given to candidates with a university or college degree and experience in sales and business growth Experience with Property Management Software such as AppFolio, Buildium or DoorLoop Must be self-motivated and energetic with a positive attitude; Must display a high level of professionalism and discretion; Excellent verbal and written communication skills (must be able to communicate clearly and professionally with owners, tenants, vendors, consultants and trades); Superior organizational and time management skills; Outstanding analytical and problem-solving skills; Ability to read and understand simple cash statements; Proficiency in Excel Ability to work under pressure and meet strict deadlines; Accuracy and attention to detail is a must. Team player with the proven ability to work independently;
Hours for this position are Monday to Friday from 9:00 a.m. to 5:30 p.m. Due to the nature of this role, candidates must be flexible to work overtime, weekends and statutory holidays as may be required. Candidates must also be flexible to work at any Prompton or Concord location (downtown Toronto or North York).
