Overview and Purpose of the Role



Reporting directly to the Clinical Manager: Clinics this role is responsible for supporting the daily operations of the Medical and Paramedical clinics. This position is responsible for providing high quality patient service through timely registration, reception, scheduling, and follow up bookings.

As the first point of contact for patients, the Clerk ensures a welcoming and professional environment while coordinating appointment logistics using the Meditech MaaS electronic health record system. This role supports smooth clinic flow, accurate data entry, and effective communication between patients and clinical teams to enhance the overall patient experience.

Key Duties & Responsibilities:



Schedule patient appointments for medical and paramedical clinics using the Meditech MaaS EHR system. Register patients, verify health card information, and update demographic details. Coordinate patient flow in collaboration with the Clinical Team Leader to ensure timely and efficient clinic operations. Respond professionally to inquiries from patients, physicians, and staff. Ensure accurate data entry, scanning, and uploading of documents into the electronic health record. Maintain and replenish clinic forms, requisitions, and patient handouts. Order and manage clinic supplies in coordination with the Clinical Team Leader. Support changes in provider schedules and communicate updates with clinical staff. Uphold confidentiality and comply with PHIPA and other health information regulations. Perform additional duties and special projects as assigned.

Corporate Responsibilities:



Participate in all mandatory training requirements and work in compliance with the Occupational Health and Safety Act and Regulations, Schroeder Ambulatory Centre Policies and Procedures, as well as established industry guidelines

Education, Skills, & Qualifications:



Secondary School Diploma required; completion of a 1-2-year college program in Medical Office Administration or related field preferred. Minimum 1 year of recent clerical experience; familiarity with patient registration procedures is an asset. Proficiency in EMR systems (e.g., Meditech, OSCAR, Accuro); experience with e-referral systems (e.g., OCEANS) preferred. Strong knowledge of medical terminology and clinical booking procedures. Accurate typing speed of 40 w.p.m. and proficiency in MS Office (Word, Excel, Outlook). Excellent verbal and written communication skills; able to follow templates and guidelines. Strong organizational skills with the ability to manage time, prioritize tasks, and meet deadlines independently. Demonstrated discretion, confidentiality, and problem-solving abilities with guidance from supervisors. Team-oriented with strong interpersonal skills and the ability to contribute to team goals. Satisfactory criminal/vulnerable sector check and proof of immunization and TB screening required.

Job Type: Full-time

Pay: $53,040.00-$62,400.00 per year
