Reporting to the Associate Registrar, Records, Registration, and Reporting the Registration Advisor is responsible for the maintenance of system data, records management, maintenance of the Academic Calendar and assisting with the delivery of statistical information and degree audits. This role will provide exceptional customer service when supporting students and instructors with inquiries related to the Registrar's Office. The Registration Advisor will work closely with other advisors and assist with a variety of administrative tasks as it relates to the Registrar's Office.




Responsibilities:






Prepare and verify files including identifying missing documentation and follow-up accordingly Maintain reporting processes to deliver information as requested by internal and external University stakeholders Assist with compiling, analyzing, verifying, and distributing statistics for internal and external requirements, and maintaining an archive of all statistics Assist in the maintenance and archiving of academic records for students in all programs including: + Program changes + Course changes
+ Interruptions of study
+ Transfer credit
+ Withdrawals
+ Processing of grades
+ Related data within our Student Information System (SIS)
Assist with the completion of program progress reports and degree audits Assist with the maintenance of degree audit rules within our Student Information System (SIS) Assist in the maintenance of the Calendar, program planners and website for the department Respond to internal and external stake-holder requests in a sensitive and timely fashion; uses problem-solving techniques to resolve sensitive issues Other reasonable duties as required.





Requirements:


A Bachelor's degree with a minimum of 2 years' customer service experience Effective cross cultural, interpersonal and customer service skills Strong written and verbal communication skills, record-keeping, and ability to maintain professionalism and courtesy in answering/delivering telephone messages Excellent organizational and time management skills, with ability to modify duties when required Ability to exercise good judgement within established guidelines and capable of working with frequent disturbances Intermediate proficiency with Microsoft Office and experience with Google Docs, is required with an aptitude to learn other software as needed Knowledge of post-secondary education systems, requirements, policies and the evaluation of credentials and admission documents would be considered an asset Basic understanding of word processing and spreadsheet applications (i.e. MS Word, Google Docs) Proficiency with Google Email and Apps, Word, Excel, PowerPoint, and familiarity with educational technologies, with an aptitude to learn other software as required Data entry and keyboarding skills Problem solving, analytical and interpersonal skills Ability to apply logical reasoning processes in troubleshooting problems Ability to communicate effectively, orally and in writing Must be able to successfully pass a security clearance Satisfactory Criminal Records Check results
