Job Summary:

As the Registered Plans Administrator, you will be responsible for order entry, administration, training and back-office compliance and support of Registered Products (RRSP, RRIF, RESP, TFSA, FHSA and RDSP). This includes providing back-up coverage and relief for RESP administration and other order-entry functions to cover absences and high-volume periods.

What You\xe2\x80\x99ll be doing:

Member impact:
  • Assist with annual content reviews, amendments, and updates of TFSA, FHSA, RDSP and RESP booklets and operations manuals.
  • Responsible for primary or back up and data entry for credit unions administered by C1 and C1 Trust.
  • Respoibsible for cheque administration, production, and delivery of outgoing mail to recipients mainly due to account transfers, account statements, tax information slips, term maturities and RESP certificates.
  • Contribute to the overall success of the team through collaboration, agility, guidance, and support on new and existing corporate initiatives, internal and external audits and other duties as required.
  • Contribute to Registered Financial Services achieving targets set by Central 1 on member surveys or other mandates as provided.


Operations & Leadership:
  • Provides back up coverage for order-entry and registered product administration to cover vacation, absences, projects, high-volume periods and as required


Specific Accountabilities:
  • Ensures data received from credit unions and agents is verified, accurate and in good order and instructions and information are within legislated guidelines and are on the correct forms.
  • Data entry and record keeping on the applicable wealth management software and data storage applications.
  • Accurately process daily transactions received from the credit unions and agents- opening and closure of the account, deposits, contributions, withdrawals, transfers, payments, settlements, purchases, redemptions, maturities, and rollovers.
  • Processes \xe2\x80\x9cin-kind\xe2\x80\x9d transfers in/out for select self-administered credit unions and process, or assist with processing, all data entry for registered products on third-party systems for subscribing credit unions as required from time to time.
  • Assistants on registered product administration and support, monthly reporting, account statements and reconciliations and services cross-trained on from time to time. Including, cheque production, TFSA administration and RESP\xe2\x80\x94including BCTESG, administration. Assist with and backup the coordinator with term maturity letters.
  • Prepares and manages monthly electronic files to and from the Employment Services Development Canada (ESDC).
  • Acts as one of the primary contacts with Employment Services Development Canada (ESDC).
  • Resolves all outstanding problems, rejections, and corrections on RDSP and RESP files and issues on the respective processing system(s).
  • Administers TFSA rejection files and assist credit unions/agents with resolving errors.
  • Delivers systems and compliance training to credit union/agent staff on Registered Products, specifically RDSP, TFSA, RRSP and RRIF. Assist with training and/or support on RESPs as needed- based on skillset and experience. Training delivery is conducted in person, or remotely using web conferencing/presentation technology.
  • Provides ongoing back-office support to credit unions/agents on product legislation and form completion via telephone and email. Provide accurate information related to registered products.
  • Provides back-office support for estate related inquiries including verifying information from the member/client file and provide accurate information on forms and documentation needed for estate settlements. Escalate complex matters to the department\xe2\x80\x99s subject matter expert(s).
  • Reconciles, monthly, the internal General Ledger (GL) account that records the RDSP and or RESP incentives.
  • Maintains member/client files electronically and manage closed registered accounts by preparing files for internal and/or offsite storage. Including maintaining closed files electronically on the department\xe2\x80\x99s secure server.
  • Provides back-up or primary coverage of RRSP, RRIF administration as needed.
  • Produce monthly RESP related certificates and term maturity letters and deliver to credit unions and assist with the delivery of account statements to members on an annual basis.
  • Manages workload and ensures continued coverage when absent and contributes to the success of the team by participating in projects, corporate initiatives, systems testing, internal and external audits and other duties as assigned.


What You\'ll have:
  • 2+ years of post-secondary education in finance or business administration, or equivalent combination of education and training.
  • 3+ years of related progressively responsible experience, preferably in registered plan administration.
  • Strong analytical and communication skills with a high degree of attention to detail, willingness to learn new duties, and superior level of customer service are essential in succeeding in the role and contributing to the success of the team.
  • Completion of the Canadian Securities Course or the Canadian Investment Funds Course is an asset.
  • Highly developed customer relations skills.
  • General to intermediate working knowledge of tax-deferred products: such as, RRSPs, RRIFs, TFSAs, LIRAs, LRIFs, RLIFs, RLSPs, RESPs, TFSAs and RDSPs.
  • Works in a fast-paced environment and has the ability to multi-task
  • Ability to manage workload and work in an environment with constant interruptions while maintaining a high standard of service.
  • Working knowledge using computer hardware, peripherals, and standard computer software applications such as Microsoft suite of products (Outlook, Word, PowerPoint, and Excel).
  • Understanding of Provincial and Federal pension legislation with respect to locking-in agreements, regulatory filing dates and registered products administrative requirements.
  • General knowledge of estate and trust legislation related to Registered Products including administration and information slip (T4/NR4) reporting is preferred


*Work Environment: Remote work with 2-3 days a week onsite at the Vancouver office and may require offsite and outside scheduled hours at certain times, as required. *
