The

Referrals Coordinator

ensures that project referrals, meetings, and financial tracking processes are well organized, accurately documented, and efficiently managed.

The role requires a highly detail-oriented and organized individual who can track multiple projects, manage information systems (including Trailmark), support departmental communications, and provide logistical support for meetings and financial reporting. The

The salary for this position is $54,600 per annum.

Key Responsibilities



Support the intake, organization, and tracking of incoming referrals and consultation requests;

Enter and maintain accurate project information in Trailmark and other databases;

Monitor project timelines, deliverables, and due dates, flagging priorities to the Manager;

Assist in preparing responses, letters, and summaries for referral files, as directed;

Maintain digital filing systems for all referral documents and correspondence;

Manage departmental calendars, schedule meetings, and coordinate logistics (room bookings, catering, travel);

Attend meetings, take detailed notes, and prepare concise meeting minutes and follow-up action lists;

Draft correspondence, memos, and briefing notes for internal and external audiences;

Support preparation of reports, presentations, and community updates;

Maintain confidentiality and professionalism when handling sensitive materials;

Track and record invoices and expense claims related to referrals and departmental activities;

Prepare monthly financial summaries and updates for the Referrals Manager;

Support coordination with the Finance Department to ensure timely coding, submission, and reconciliation of invoices;

Maintain up-to-date logs for funding agreements, billing, and claim submissions.

Education and Experience



Diploma in Office Administration, Business, Environmental Studies, Indigenous Governance, or a related field;

Minimum 3 years of administrative or project coordination experience, preferably in a First Nation, government, or non-profit environment;

Experience with data management systems, project tracking software, or digital filing systems (Trailmark, SharePoint, Excel, etc.);

Experience supporting financial tracking or departmental reporting is an asset;

Valid Class 5 driver's licence and reliable vehicle plus a clean driver's abstract and appropriate insurance;

Clean criminal record check required.
