Reporting to the Recreation & Culture Manager and working with the Recreation Coordinator, the Recreation Assistant supports the planning, development and delivery of registered, drop-in and outreach programs and services for the community. The assistant ensures the delivery of high quality services through the administration of quality assurance programs such as HIGH FIVE.
Job Responsibilities:
Works with the Recreation Coordinator to develop and plan programs and services
Supports the Recreation Coordinator with facility scheduling, program confirmation and facility set-up plans
Assists in overseeing day-to-day operation of programs
Monitors and maintains inventory of program equipment and supplies, sources, and purchases when required
Assists with coordination of staff placements, substitutions and last-minute arrangement for program coverage
Provides supervision to participants, part-time staff and volunteers
Responds to telephone enquires/e-mails, troubleshoots and problem-solves issues
Helps in the program integration and support required of special needs participants and one-on-one support structures (staff to participants)
Responsible for assisting the Recreation Coordinator with Program Xplor inputting
Supports data monitoring of programming numbers for registered and drop-in programs, cancelling/combining/adding if required
Assists with registration enquires, customer service, waitlist management.
Assists with the coordination and oversight of recreational leagues, including but not limited to registration processes, staffing support, and scheduling logistics.
Supports Recreation Coordinator in administering and monitoring HIGH FIVE standards for all children's programs in consultation with Recreation Coordinator and Program Supervisor
Provides program content and information to aid in the promotion of programs through marketing and web site content
Assists with the recruitment, selection, interviewing and hiring of part-time staff and volunteers
Assists with part-time staff evaluations
Helps with the administration of progressive discipline if required to department standards
Assists with production, distribution and submission of contracts, TD1 forms, staff correspondence, application forms, uniform requests and change of status
Available to work a flexible schedule including evenings and weekends as required
Ensuring that Health & Safety and duty of care legislation/protocols are met for all participants, staff and volunteers
Prepares and submits weekly payroll
Assists with scheduling of part-time staff and volunteers for Manager approval
Monitors, reviews and provides input into policies and procedures, training manuals to ensure compliance with HIGH FIVE standards
Accident management and critical incident procedures
Provides assistance and recommendations for budget as requested
Monitors defined portions of budget including monthly variances (wages, expenses, revenues)
Provides feedback to the budget analysis and quarterly projections
Use of CIS and FMW systems
Purchasing of program equipment and supplies
Ensures compliance with all legislation related to health, safety and duty of care (e.g. Child Protection Act and reporting procedures of town and CAS with support from Manager)
Accountable for both the safety and wellbeing of part-time staff/seasonal student staff/volunteers and participants through compliance with Health and Safety standards
Participates in community events and school visits and acts as a town liaison to promote programs and services
Actively develops and maintains relationships with local schools, agencies, minor sport/cultural groups, partners
Assists with planning outreach events for community centre participants (content, program and venues)
Available to work a flexible schedule including evenings and weekends as required.
Qualifications:
Successful completion of Post-Secondary Degree or Diploma in Recreation and Leisure, or equivalent related field
A minimum of 3 years' experience working with, supervising, and mentoring youth, teens and volunteers
Experience with delivering programs and services in a recreation setting
Good communication skills, interpersonal skills and conflict resolution
Valid certification in Standard First Aid, CPR (C) and AED
HIGH FIVE certifications: Principles of Healthy Child Development, Quest 2
Principles of Healthy Child Development Trainer would be an asset
Working knowledge of Xplor software would be considered an asset
Training and/or experience with Developmental Assets would be considered an asset
