We are currently seeking a Full-Time Records Administration Supervisor to join our team at our Calgary, AB Base.

Reporting directly to the SMS Manager, the Records Administration Supervisor is responsible for the overseeing the Records Administration Team and providing support to ensure that company training records are kept up to date, are compliant with regulatory requirements, as well as company policies and procedures, and such records are easily accessible to authorized personnel. This role places a crucial part in ensuring the accuracy and integrity of company documentation, contributing to the overall safety and operational efficiency of Central Mountain Air.

Job Responsibilities



Maintain the Document Master Matrix (DMM) system, ensuring all documents are current, accurately categorized, and easily retrievable. Provide training to all Records Administration Specialists, both initially and ongoing as required. Oversight of all Records Administration Specialists and provide ongoing support to each individual. Manage document revision and approval process of CMA's manuals and documents, ensuring timely updates and distribution of documents. Manage employee pilot and maintenance records of qualifications, training, certifications, and licenses as it applies to each area. Issue training sessions (new and recurrent) and communicate important information to new employees. Manage document control and administration support email. Document and maintain all records administration specialist procedures and processes. Audit the Document Master Matrix (DMM), Master Training Matrix (MTM), and Records Control System on a scheduled basis to ensure compliance with regulatory and company requirements. Strive for continuous improvement of the Records Administration department, including but not limited to, the improvement of current or creation of new processes, procedures, and systems. Implement identified changes required to existing procedures, processes, and systems across the Records Administration department and/or company. Efficiently share company-wide communications in a timely manner. Update and maintain a large variety of aviation and company manuals, forms, and databases. Clear, effective communication with Department Managers, and other departments as it relates to the Document Master Matrix. Contribute to maintaining the accuracy of employee and training records on various platforms. Maintain a high level of confidentiality and professionalism in all interactions. Promote a culture of safety Other job duties as assigned by management personnel.

Qualifications and Experience



Minimum 5 years' experience in an administrative role; aviation experience considered an asset. Diploma in Business Administration or related field considered an asset. Proficient with Adobe Pro and advanced in Microsoft Office 365 applications. Strong written and verbal communication skills. Excellent attention to detail, organization, and ability to work independently.
