Job Summary

As a

Receptionist & Office Administrator

, you will be the first point of contact for our patients and play a vital role in ensuring smooth daily operations. You'll handle reception duties, administrative tasks, and provide support across departments. The role requires

excellent communication skills, strong multitasking abilities, and proficiency in office software

.

Key Responsibilities and Reception Duties

Greet patients warmly and create a welcoming environment at the front desk. Handle inquiries via phone (multi-line system), email, and in person with professionalism and courtesy. Schedule and confirm patient appointments for Aquatherapy, Physiotherapy, and other treatments. Process intake forms, insurance documentation, and ensure accurate patient records. Address client concerns promptly and escalate when necessary.
Administrative Duties

Manage daily office operations: filing, data entry, scanning, and clerical tasks. Maintain organized filing systems for easy access to important documents. Provide administrative support for staff, therapists, and management. Utilize

Universal Scheduling, Teams, Microsoft Office

and

Google Workspace

for documents, spreadsheets, and scheduling.
Skills & Requirements

MUST HAVE

: Experience with

MVA patients

and the

HCAI system

. Strong organizational and multitasking skills. Excellent communication and customer service abilities. Proficient in

Universal Scheduling, Outlook, Microsoft Office

and

Google Workplace.

Previous office/clerical experience is required. Professional phone etiquette and ability to manage a multi-line system. Typing and data entry proficiency with attention to detail. Languages such as

Russian, Turkish, Azeri, Persian, Georgian

are an asset.
Shifts Available

Mondays & Wednesdays:

9 AM - 4 PM & 4 PM - 9 PM (9 AM - 5 PM)

Tuesdays:

9 AM - 5 PM

Thursdays:

9 AM - 4 PM & 4 PM - 7 PM (9 AM - 5 PM)

Sundays:

9 AM - 3 PM
