Receptionist/Administrative Assistant
. Reporting to the Human Resources Manager, the successful candidate will provide quality, responsive day-to-day support to the team and provide quality customer service to clients. The incumbent must be customer focused, well organized and possess the ability to prioritize workflow while assisting the team and clients.
CORE RESPONSIBILITIES
Receptionist Duties:
Phone coverage and receptionist duties as needed.
Assist in a variety of administrative tasks including copying, faxing, note taking and accommodation arrangements.
Sort and distribute mail/parcels.
Mail letters and parcels as needed.
Help prepare meeting/training rooms.
Employee Engagement
Draft and distribute monthly newsletter (internal).
Host monthly fun Friday events.
Participate in the social committee and oversee the employee engagement calendar along with Human Resources.
Organize company-wide birthday cards for team members.
Assist team to organize annual GC Connect and Holiday Party.
Work alongside team members on various projects.
Health & Safety
Point of contact for Health & Safety concerns.
Member of Joint Health and Safety Committee.
Work with team members to ensure training, and office requirements are being met.
Update Health and Safety training as required.
Marketing Support
Event Management:
Plan and organize internal/external events such as open houses, golf tournaments etc.
Work with management regarding contest giveaways
Asset Management:
Manage GC photo collection
Assist in maintaining physical marketing materials stored in marketing room - make sure they remain organized and maintained.
Administrative Duties:
Maintain the Hello Calendar and company event calendar in collaboration with the Marketing Coordinator.
QUALIFICATIONS & EXPERIENCE
Experience in a receptionist role servicing multiple locations.
Excellent written and verbal communication skills.
Commitment to positive team dynamic.
Excellent time management and organization skills.
High attention to detail and accuracy.
Ability to multi-task and respond to time sensitive deadlines.
Bilingual (English and French) an asset.
Job Type: Full-time
Pay: $45,000.00 per year
