Position Overview:
We're looking for a highly organized, friendly, and self-motivated individual to join our team as a
Receptionist / Marketing Coordinator
. This hybrid role is perfect for someone who is passionate about aesthetics, has strong customer service experience, and is confident in using social media to represent a brand authentically and creatively.
Responsibilities:
Welcome and check in clients, manage appointment bookings, and respond to phone and email inquiries.
Maintain a clean, organized, and professional clinic environment.
Coordinate day-to-day patient care activities, ensuring a smooth and positive client experience.
Process billing, invoicing, and payments accurately.
Manage and monitor inventory of skincare and medical supplies.
Utilize electronic medical record systems, CRM's (e.g., Jane) efficiently.
Maintain and grow our social media presence (Instagram, Facebook, etc.) through regular posting, story updates, and engagement.
Collaborate with the team on promotional campaigns and in-clinic events.
Build and maintain strong relationships with clients, partners, and suppliers.
Assist in ensuring compliance with medical and industry standards.
What We're Looking For:
Previous experience as a receptionist (medical or aesthetic industry experience is a strong asset).
Confident and comfortable using social media professionally, including content creation and brand voice.
Friendly, approachable, and customer-service oriented.
Highly self-motivated with strong initiative--able to work independently and problem-solve.
Tech-savvy, with strong administrative skills and familiarity with tools like Jane or similar platforms.
Organized, reliable, and detail-oriented.
Excellent verbal and written communication skills.
Proficiency in English; other languages are a plus.
