Job Description

Callioux Law is looking for a Receptionist/Executive Assistant to join our dynamic team. We are a fast-growing family law firm in downtown Edmonton that is looking for a new addition to our team. The ideal candidate is highly motivated, detail oriented, extremely organized, and takes initiative.

Office Hours: Monday to Friday - 8:30am to 4:30pm
Preferred Start Date: As Soon As Possible
Position Type: We are open to both part time and full time opportunities for the right candidate.

The Receptionist/Executive Assistant position is responsible for wide variety of clerical office duties including but not limited to:

Responding to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties. Referring all inquiries to the appropriate individuals, divisions, or departments across the organization. Welcoming clients and visitors for meetings, interviews, etc. Take and record telephone, e-mail, or written messages for staff members. Type forms, letters, reports, and memos, as necessary. Taking inventory, stocking, and ordering appropriate supplies for the office including boardrooms, kitchen and file room. Perform mail associated duties. Receive, sort, and distribute all forms of paper correspondence including pay information statements. Organize, maintain, and coordinate office records and files in their proper locations. Order food and beverages for onsite meetings as well as pick up and set up. Arrange and book meetings in boardrooms, off-site conference halls, and other locations; ensure the appropriate presentation equipment is there. Assist Management Executives on various tasks, ad hoc. Able to present a neat and professional appearance Other duties as required.

Knowledge, Skills, & Abilities



High school diploma or GED, or an acceptable combination of education and experience. Certification/Degree in Business Administration an asset

. 2-4 years of Office Administration Experience (Executive Assistant experience an asset

but not required

) Ability to apply, understand to carry out instructions in written and verbal form. Experience in an office environment, including customer service and knowledge of common office equipment including copiers, scanners, and fax machines; Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items. Proficiency in Microsoft Suite (Outlook, Word, Sharepoint) Able to maintain filing systems and basic data bases. Strong telephone skills; Can exercise good judgement in pressure situations; Excellent attention to detail and organizational skills; Strong written and verbal skills to communicate with all levels of the organization and its executive team.
A preferred applicant would also have:

Experience with Microsoft Office 365 Superior conflict management skills Advanced organizational skills Attention to detail with a high degree of accuracy Ability to work independently and problem solve Knowledge of legal concepts, principles, and terminology Proven ability to work in a fast paced, high-stress environment Capable of working within a busy practice with tight deadlines
