Calibre is looking for warm, friendly and organized Receptionist to join our growing team. The successful candidate will be responsible for a wide variety of clerical office duties in support of company administration. Duties include coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, data entry, document matching and filing. The Receptionist will have a focus on providing impeccable service to all of our visitors, customers, and internal and external partners.

Responsibilities

:

As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
o Respond to telephone, e-mail, and in-person inquiries from clients, business partners, and other parties.

Refer all inquiries to the appropriate individuals or departments across the organization. Collect and match documents for both accounts receivable and accounts payable depts Scan documents into computer system ensuring all are documents accounted for Receive and distribute all forms of paper correspondence. Organize, maintain, and coordinate office records and files in their proper locations. Where necessary, assist in compiling data for various reports. Provide information to staff and/or clients as needed Ensure all forms and reports are completed. Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence. Maintain the reception and coffee area in a tidy and presentable manner. Assist customer service staff with order entry and correspondence as needed
o Coordinate with 3rd part service and support firms like landlord and IT company as needed

Order and manage office, janitorial and related supplies Other duties as required and assigned.

Required Skills & Abilities:



o 1 - 3 years of Receptionist type experience

o Able to write simple correspondence, including memos, letters, etc.

o General mathematical skills.

o Ability to carry out instructions in written, verbal, or diagram form.

o Adjusts and is flexible to meet changing work needs and demands.

o Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.

o Strong knowledge of Microsoft Office products, including Outlook, Excel, and Word

o Able to maintain filing systems and basic databases.

o Excellent analytical and problem solving skills.

o Meticulous records maintenance skills.

o Superior telephone manners and strong interpersonal skills.

o Strong written and verbal skills to communicate with all levels of the organization and its executive team.

o Strong customer service orientation.
