We are seeking a dedicated and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing front desk operations. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. Experience in a bookkeeping and income tax will be beneficial.
Responsibilities
Greet and assist clients and visitors in a friendly and professional manner.
Manage multi-line phone systems, directing calls appropriately and taking messages as needed.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
Handle clerical duties including filing, typing, proofreading documents, and managing correspondence.
Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
Support bookkeeping activities as necessary, including invoicing and payment processing using QuickBooks and Microsoft Office
Maintain organization of the front desk area to ensure a welcoming environment.
Provide customer support by addressing inquiries and resolving issues promptly.
Assist with scheduling appointments and managing calendars for staff members.
Ensure confidentiality of sensitive information in accordance with company policies.
Skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace, Quick Books and Profile Tax Program
Strong computer skills with experience in data entry and clerical tasks.
Excellent customer service skills with a focus on phone etiquette and client interaction.
Organizational skills to manage multiple tasks efficiently while maintaining attention to detail.
Typing proficiency with the ability to proofread documents accurately.
Experience with multi-line phone systems is preferred.
Previous administrative experience is highly desirable; bookkeeping and income tax experience is a plus.
