Swiftsure Law is looking for a full-time receptionist/admin assistant to join our growing law firm. The ideal candidate will thrive in a fast-paced environment where no two days are the same. Our firm prides itself on providing the highest quality service to our clients in both our litigation and solicitors departments. You must have excellent communication skills \xe2\x80\x93 both written and verbal, as well as a high degree of discretion. As the Receptionist/Admin assistant, you will be the hub of our team, so you must be great at working both collaboratively and independently. The ideal candidate will be able to adapt quickly to new challenges as they arise. Our firm attracts high-net worth clients, often with very high-conflict issues, as the first face they see when they walk in the door, our receptionist will embody the Swiftsure ethos of people-first professionalism. Responsibilities
Office opening procedures
Setting up meeting spaces
Greeting clients
Processing payments pursuant to law society rules
Receiving and sending correspondence
Answering and transferring telephone calls
Taking messages
Maintaining and updating client contact list
Maintaining and updating digital records pursuant to firm policy and law society rules
Maintaining and updating paper files pursuant to firm policy and law society rules
Preparing invoices
Preparing correspondence
Ordering supplies
General admin duties including arranging for couriers, deliveries and scheduling meetings
Assisting Office Manager with administrative tasks such as scanning, filing and organizing of accounting records, billing and disbursements to clients
Required Skills
Familiarity with Microsoft office
Ability to work both collaboratively and independently
Ability to work in a fast-paced environment
