This position will be responsible for providing general front-line reception and administrative support, including scheduling meetings, planning events, team communications, while also gaining experience in office, project, and technical professional systems.
KEY RESPONSIBILITIES
General office functions, such as distributing mail, greeting visitors, assisting with correspondence, monitoring office inventory and ordering supplies
Answering and directing all incoming phone calls
Organize meeting logistics, including room bookings, IT requirements, catering, and room layout
Coordinate cost effective and efficient travel arrangements when necessary for business travel
Manage and maintain schedules and boardrooms in online calendars
Collecting and managing deliveries to the office
Attend meetings and take meeting minutes as required
Assistance with filing and organization of documents
Maintain PPE inventory and assist employees with their PPE requirements
Data entry into relevant systems
Ensure office and reception area is opened during business hours and closed at the end of the day
Manage company fleet vehicles by coordinating requests, inspecting vehicles upon return, and booking maintenance when required
Other office duties as required
QUALIFICATIONS AND EXPERIENCE
College diploma in an administrative or business program preferred
Experience in an administrative capacity
Strong ability to prioritize and anticipate business/team needs
Organized self-starter with proven ability to multitask
Team oriented and ability to support team members and clients
Proficient with Microsoft Outlook, Word, PowerPoint, Excel, and MS Teams
Excellent written and verbal communication
