Administrative Assistant & Receptionist
to be the backbone of our office operations. This is a full-time, in-office role in Red Deer supporting a dynamic and fast-paced team.
Compensation:
19-$23 per hour
, based on experience and qualifications
32-40 hours per week

What You'll Do:
As the Administrative Assistant & Receptionist, you'll ensure the smooth day-to-day operation of our office, providing essential support to management, staff, and clients. This role is ideal for someone who thrives in a structured, professional environment and takes pride in creating efficient systems and a welcoming office atmosphere.
Key Responsibilities:
Administrative Support:
Manage office calendars (monthly & annual), track staff absences, and post holidays
Support the General Manager in monitoring staff policy adherence
Coordinate IT and janitorial services as needed
Assist with new hire documentation and internal onboarding
Contribute to marketing efforts (mailers, thank-you cards, basic social media uploads)
Help plan and organize occasional company events
Compile monthly reports and dashboards on office efficiency
Office Administration:
Handle mail retrieval, email communication, and timely responses
Organize and maintain all administrative files (excluding HR)
Order and manage office supplies inventory
Run occasional errands (e.g., supply runs to Costco or Dollarama)
Keep the showroom, kitchen, and office areas clean and presentable
Maintain internal office calendars and identify scheduling conflicts
Reception:
Answer all incoming calls promptly and professionally
Direct inquiries to the appropriate team member
Maintain clear and timely communication records
Bookkeeping Assistance:
File A/P and A/R invoices in proper locations
Track and report monthly petty cash
Prepare expense reimbursements
Detailed records kept for Bookkeepers payroll run
Handle bank deposits and backup documentation
What We're Looking For:
2+ years in an administrative or office support role (construction or design industry experience is a plus)
Strong organizational and time-management skills
Professional, friendly, and confident communication style
Proficient with Microsoft Office and digital file systems
Self-motivated, with the ability to work independently and take initiative
Willingness to support the team wherever needed
What Success Looks Like:
Calls answered within two rings
Calendar dates and events planned in advance
Files and office supplies consistently organized
Management and staff fully supported through proactive communication and administrative excellence
