We are seeking a friendly, outgoing, highly organized and detail-oriented Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. The ideal candidate will possess strong communication skills in BOTH English and French, proficiency in office management software, and a very friendly demeanor.
Duties
Greet clients and visitors warmly, providing an excellent first impression of the company.
Manage multi-line phone systems, directing calls appropriately and handling inquiries with professionalism.
Perform data entry and maintain accurate filing systems to ensure efficient office operations.
Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
Provide support to team of physiotherapists by thoroughly cleaning rooms after each use. Doing laundry on a regular basis.
Maintain office supplies inventory and place orders when necessary to ensure smooth operations.
Support customer service efforts by addressing client concerns and providing information about services offered.
Collaborate with team members on various projects to enhance office efficiency and productivity.
Utilize Google Workspace and Microsoft Office tools effectively to complete daily tasks.
Requirements
Proven experience in an administrative role or as a receptionist is preferred.
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
Familiarity with multi-line phone systems and excellent phone etiquette is essential.
Bilingual candidates are encouraged to apply as it enhances communication with diverse clientele.
Exceptional organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
Previous experience in a dental or medical receptionist role is a plus but not mandatory.
Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
