We are seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our growing team at our Moncton office. This role is ideal for someone who excels at client communication, enjoys multitasking, and thrives in a fast-paced professional environment.
The successful candidate will play a key role in ensuring smooth daily office operations by managing client interactions, scheduling appointments, maintaining records, and supporting the team to ensure work is completed. Previous experience in a similar role and working knowledge of the Canadian immigration field are essential.
Key Responsibilities
Answer and manage incoming phone calls professionally
Communicate with clients promptly via phone and email
Schedule and manage client appointments
Greet clients with a positive and professional demeanor
Create contracts, invoices, and send receipts
Maintain accurate client records in accordance with company procedures
Follow up effectively with clients and internal staff
Learn and use company software and programs efficiently
Assist the team with additional duties as assigned
Meet deadlines while maintaining a high level of accuracy and organization
Requirements & Qualifications
Minimum 2 years of experience in a similar administrative or client-facing role
Excellent written and verbal communication skills
Strong multitasking and organizational abilities
High attention to detail
Ability to work efficiently in a fast-paced environment
Professional, courteous, and client-focused attitude
Ability to quickly learn new systems and software
Language Requirements
Fluency in English is required
Working knowledge of French, Hindi, Punjabi, Gujarati, Spanish, or other languages is a strong asset

Location: Moncton Office
Schedule: Part-time, 24 hours per week
Wednesday to Friday, 9:00 AM - 5:00 PM
Possibility to transition to full-time
