Job Description

The Front Desk Administrative Assistant serves as the first point of contact for residents, families, visitors, and staff at Leamington Mennonite Home. This role is essential in creating a welcoming and professional environment while supporting administrative operations with accuracy, efficiency, and confidentiality. The ideal candidate demonstrates warmth, professionalism, and exceptional customer service skills, with the ability to manage multiple tasks in a compassionate and organized manner.

Responsibilities



Reception & Customer Service



Greet all residents, families, visitors, and staff in a professional and friendly manner. Facilitate positive interactions with residents, families, volunteers, and staff, answering inquiries and directing visitors as appropriate. Answer and direct incoming calls; manage voicemail and inquiries promptly. Monitor visitor sign-in process and enforce safety and entry protocols.

Administrative Support



Provide general office support including photocopying, filing, data entry, and document preparation. Assist with updates of resident admission packages, brochures, and documentation. Schedule meeting rooms and the Heritage Centre. Support the coordination of resident admissions as required. Maintain office supply inventory and place orders as needed. Provide administrative support to the Leadership Team and Medical Director. Assist other departments with administrative needs as requested.

Resident Services



Manage resident Trust Account transactions and maintain records. Book Doctor's Clinic appointments and maintain related receipts. Schedule external medical appointments and arrange transportation. Organize lab work and flow sheets for resident care areas. Support staff in coordinating resident care-related documentation.

Communication & Documentation



Create and maintain data files and information systems. Enter and issue donation receipts. Ensure teamwork, positive public relations, and respect for all individuals are upheld in all duties.

Security & Safety Oversight



Monitor front entrance security systems and assist visitors with building access. Respond appropriately to Fire Alarm Panel signals. Communicate with Security One and the Fire Department to disable alarms when required. Ensure the front desk is covered at all times to maintain consistent service.

Other Duties



Support daily operations and assist with special projects as assigned. Uphold confidentiality and professional standards in all interactions.

Qualifications



Post-secondary education in office administration or related field (or equivalent experience). Minimum 2 years of customer service or front desk experience, preferably in healthcare, senior care, or nonprofit environments. Excellent interpersonal, written, and verbal communication skills. Strong organizational and multitasking abilities. High degree of professionalism, discretion, and empathy. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn new systems quickly. Ability to work independently and collaboratively within a team.

Pay: $20.00-$23.00 per hour
