Our growing helicopter company is seeking a highly organized and adaptable Receptionist / Administrative Assistant who thrives in a fast-paced environment. This position is perfect for someone who enjoys variety in their work and who values working closely with a supportive, collaborative team. In this role, you will be a key part of ensuring both our office and hangar operations run smoothly, with responsibilities ranging from daily communications and logistics to inventory management, onboarding, and general administrative coordination.
Responsibilities
Answer and direct incoming phone calls; greet and assist visitors and couriers.
Receive, log, and distribute mail and courier packages.
Maintain attendance records and prepare the daily attendance email
Perform weekly inventory checks and restock supplies for the office and hangar; handle ordering and occasional Costco runs.
Prepare new hire folders and pilot binders; send welcome emails to new team members.
Maintain and update internal contact lists, birthdays, and driver's license records.
Conduct monthly hangar inspections and keep the OHS board up to date.
Support document control including internal memos, SOPs/SWPs, and OHS meeting minutes.
Save, print, and organize daily flight documents
Receive, log, and distribute mail and courier packages.
Manage incoming CFS (Canada Flight Supplement) updates.
Monitor and maintain TRK merchandise inventory and coordinate ordering as needed.
Assist with social media by sourcing staff photos, editing content, and drafting engaging posts.
Support financial admin by preparing cheques, updating trackers, and assisting with expense forms.
Maintain pilot files, track certifications (e.g. aviation medicals), and support internal file compliance.
Prepare shipping documents for outbound shipments through WestJet Cargo, FedEx, and other carriers
Requirements
Previous experience in an administrative or receptionist role is preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong computer skills with the ability to learn new software quickly.
Excellent organizational skills with attention to detail.
Strong typing skills and experience with data entry processes.
A positive, can-do attitude and the ability to take initiative.
Familiarity with aviation or logistics is a plus but not required.
A valid Canadian driver's license is required.
