Part-time administrative assistant needed (Montreal-West Island)

We are hiring!! Looking for a friendly, energetic team member to join our amazing front desk support team in our multidisciplinary clinic - West Island Integrative Health Centre. Computer skills are required. If you think this is you, please contact us!

Requirements:



Proficient knowledge in office administration. Problem-solving skills and decision-making skills. Effective verbal and listening communications skills. Must be bilingual, strong French and English oral and written a necessity! Computer skills, including ability to use spreadsheets and word processing programs at a highly proficient level. Time management skills. Be honest and trustworthy, respectful, possess cultural awareness and sensitivity, be flexible and demonstrate sound work ethics.

Principal functions:



Prepare and input information into computer, revise and reread correspondence, billings, presentations, brochures, publications, reports and other documents from dictated notes or documents. Open and distribute emails and postal mail and other documents received and coordinate the circulation on internal information to others in the organization or to other outside services and organizations. Make and confirm appointments and meetings for the employer. Order office supplies and maintain inventory. Respond to information requests received by telephone or by email and transmit phone calls and messages. Establish and maintain manual filing systems and computer filing systems. Create and implement office systems. Greet visitors and determine how you can assist them. Record and prepare a report of meetings. Organize trips and make necessary reservations. Compile, if necessary, information, statistics, and other information in order to assist research activities. Oversee and train, if needed, other office employees in work methods, using office systems and programs. Organize, if necessary, conferences.
Employment type: part-time. Less hours during the holidays of the employer; Winter holiday season/Christmas time, summer time, etc. We are looking to fill 20-22 hours per week at this time. Flexibility to cover on a Saturday if needed would also be of value, but not imperative. Flexibility in the work day is needed as shifts may change after a few months. We are looking for 4 days per week for part time hours.

Previous experience in a professional environment with secretarial/administrative skills or attended secretarial school is an asset.

Exigences :



Connaissances de la gestion et de l'administration en bureautique. Capacite de gerer et de resoudre divers evenements afin de trouver des solutions. Avoir d'excellentes Competences en communication. La personne doit maitriser le francais et l'anglais en ecriture. Le bilinguisme est obligatoire! Maitriser les Connaissances en Informatique et en traitement de texte avec les differents logiciels tel que Quick Book, Microsoft Office : Excel, Word, etc. Competences de la gestion de son temps et capacite a prioriser les taches. Etre honnete, digne de confiance, respectueux, de posseder une sensibilite aupres des differentes communautes, faire preuve de souplesse et de demontrer un sens ethique du travail.

Fonctions principales:



preparer, saisir a l'ordinateur, reviser et relire de la correspondance, des factures, des presentations, des brochures, des publications, des rapports et d'autres documents connexes a partir de notes dictees ou manuscrites; ouvrir et distribuer le courrier postal et electronique et les autres documents recus et coordonner la circulation des renseignements a l'interne et avec d'autres services et organismes; fixer et confirmer les rendez-vous et les reunions de l'employeur; commander les fournitures de bureau et en tenir l'inventaire; s'assurer que l'espace de bureau est maintenu propre et ordonne repondre aux demandes de renseignements recues par telephone et par courrier electronique et transmettre les appels telephoniques et les messages; etablir et tenir des systemes manuels et informatises de classement des dossiers d'information; formuler et mettre en oeuvre les modes de fonctionnement du bureau; accueillir les visiteurs, determiner le but de leur visite et les diriger vers l'employeur ou la personne competente; consigner et preparer les proces-verbaux des reunions; organiser les voyages et faire les reservations necessaires; compiler, s'il y a lieu, des donnees, des statistiques et d'autres renseignements, afin d'appuyer les activites de recherche; surveiller et former, s'il y a lieu, les employes de bureau en ce qui a trait aux methodes de travail et a l'utilisation de logiciels courants; organiser, s'il y a lieu, des conferences.
Emploi : Temps Partiel. Moins d'heures pendant les vacances de l'employeur; Noel, l'ete, etc. 20$ / heure

Doit posseder une experience anterieure dans le secteur professionnel et/ou les qualifications de secretariat ou avoir fait des cours de secretariat reconnu sont un atout.
