Receptionist/Administrative Assistant
to join our team on a
permanent, part-time
basis. The ideal candidate will have experience in healthcare or clinical administration and a commitment to providing respectful, efficient, and confidential support to both clients and clinicians.
Position Overview
This role involves front-desk reception, scheduling, records management, and administrative coordination in a mental health setting. The successful candidate will work weekday afternoons to ensure smooth clinic operations and high-quality service delivery.
Key Responsibilities
Administrative Support:
Greet and sign in clients upon arrival and manage appointment check-outs
Schedule assessments and appointments for clinicians using an electronic system
Manage referrals and update electronic and paper client records in compliance with PHIPA
Prepare forms, reports, and correspondence as required
Process payments and generate invoices or receipts as needed
Maintain the tidiness and readiness of front office and clinical spaces
Client and Professional Communication:
Respond to phone calls, emails, and general inquiries in a courteous and timely manner
Liaise with referral sources, clients, and caregivers while maintaining strict confidentiality
Offer empathetic and professional client service, particularly in sensitive or emotionally complex situations
Operational and Team Collaboration:
Assist clinicians with administrative coordination related to their schedules and documentation
Support general clinic functions such as supply ordering and file organization
Contribute to improving administrative processes as needed
Qualifications
Required:
Diploma in Office or Medical Administration (or equivalent experience)
Minimum 2 years of experience in a receptionist or administrative role, preferably in a clinical or healthcare setting
Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook)
Excellent communication, interpersonal, and time-management skills
Ability to work independently and with professionalism in a confidential environment
Preferred Assets:
Familiarity with psychological or healthcare terminology
Experience using Jane or similar electronic medical record systems
Previous experience in a mental health or private practice setting

Monday to Friday, 12:00 p.m. - 4:00 p.m. (approximately 20 hours per week)
Compensation:
Hourly wage, commensurate with experience
