Receptionist/administrative Assistant

Job Description

We are seeking a Receptionist/Administrative Assistant to join the Donnelly Murphy team at our Goderich office. Prior experience in this sort of role is an asset.

Required skills: organization, ability to multi-task and attention to detail

The selected candidate would be responsible for task such as but not limited to:

Opening and Closing of Reception area, keeping front desk tidy and presentable, greeting and welcoming visitors/clients in the office and directing/announcing them as appropriate, answering all incoming phone calls and redirecting them as appropriate, receiving and distributing all incoming faxes to the appropriate clerk, providing/receiving documents to and from clients/third parties for pick up/drop off and directing them to the appropriate person, receiving couriers and directing them to the appropriate person, receiving and opening all the mail and courier packages; stamping the mail with the receival date; scanning the mail; emailing to the appropriate person and putting the physical documents in the person's mail slot/envelope, uploading USB/DVD documents and saving to the appropriate file/getting to the appropriate person, receiving payments from clients in person and by telephone; processing the pin pad and entering into accounting system, monitoring all lawyers calendar's on a daily basis to know schedules for whom to expect in the office daily to allow greeting client's/calls accordingly, closing files in accounting program, electronic closed files data base and storing the physical closed file in the appropriate closed storage space, occasional banking for all offices, as needed, in a timely manner as well as daily banking, paying bills and certifying cheques, occasional court Filings for staff, as requested, update Library books within the office, attend Post Office, as needed, monitor the schedule for the boardroom and co-ordinate with clerks, if necessary, forwarding e-transfers and direct payments to bookkeeper, checking web payments, processing the web payments through the pin pad; receipting in accounting program; emailing the appropriate clerk, signing as a witness as needed, assisting staff with supplies and monitoring supplies, support to the staff for binding, printing, photocopying and scanning, as needed

This position is full-time with salary being commensurate with experience. We offer benefits and an RRSP contribution plan.
