We are seeking a dedicated and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will possess strong clerical and customer service skills, with experience in managing office tasks efficiently. This role requires proficiency in various software applications, including Microsoft Office and QuickBooks, to support daily operations and enhance productivity within the office environment.
Duties
Provide exceptional customer support and service at the front desk, ensuring a welcoming atmosphere for clients and visitors.
Manage multi-line phone systems, handling incoming calls with professionalism and effective phone etiquette.
Perform data entry tasks accurately, maintaining organized records and files.
Assist with bookkeeping duties, including invoicing and financial record management using QuickBooks.
Utilize Microsoft Office for document creation, editing, and communication.
Conduct proofreading of documents to ensure accuracy and clarity in all written materials.
Organize and maintain filing systems for easy retrieval of information.
Support administrative functions by scheduling appointments, managing calendars, and coordinating meetings.
Collaborate with team members to streamline office processes and improve overall efficiency.
Provide assistance in a construction office setting as needed, leveraging any relevant experience in that field.
Experience
Previous receptionist/administrative experience is required.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
Familiarity with QuickBooks for bookkeeping tasks is preferred.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent typing skills with attention to detail for data entry and document preparation.
Experience in customer service roles, demonstrating effective communication skills both verbally and in writing.
