Position: Full-Time Receptionist


We are looking for an enthusiastic, professional Receptionist to be the welcoming face of our clinic. As the first point of contact, you will play a key role in creating a positive and seamless experience for our clients.

The ideal candidate will have:



Strong knowledge of medical aesthetics and medical-grade skincare Proven experience in skincare sales Experience and interest in social media content creation and engagement Excellent spoken and written English communication skills Familiarity with aesthetic services and treatments Ability to work independently with initiative and reliability Previous reception or front desk experience Exceptional organizational skills and a customer-focused attitude

Key Responsibilities: Receptionist -- DermNurse Medical Aesthetics

Client Experience & Front Desk Operations



Greet clients warmly and ensure a welcoming, professional, and clean reception area Manage appointment bookings, confirmations, rescheduling, and cancellations via the Jane EMR system Answer phone calls, emails, and in-person inquiries in a timely and friendly manner Handle daily check-in and check-out of clients, including collecting payments and processing invoices Provide knowledgeable information about clinic services, treatments, products, and memberships

Administrative & Office Support



Maintain accurate client records and ensure compliance with privacy/confidentiality standards Monitor and manage appointment waitlists, cancellations, and follow-up lists Prepare and organize treatment rooms as needed between appointments Coordinate incoming and outgoing mail/packages Assist with inventory management of skincare products and medical supplies Help manage clinic email accounts, help create newsletters, and client communications

Sales & Promotions



Support product and treatment sales by educating clients on offerings and current promotions Maintain product displays and assist with monthly product stock checks Upsell memberships, packages, and skincare regimens as appropriate

Technology & Software



Proficiently use Jane EMR for booking, payments, and charting support Process payments through Clover terminal and manage end-of-day reconciliation Support social media content scheduling and posting (as assigned) Maintain electronic filing systems and assist with clinic reporting as needed

Team Collaboration & Clinic Culture



Support clinical staff with daily operations and flow Participate in regular staff meetings and ongoing training Foster a positive, collaborative, and client-focused clinic environment Assist with preparation and support for special events (ex: workshops, client appreciation events)

Qualifications:



High school diploma or equivalent Experience with social media content creation and engagement Proven experience in skincare product sales Medical Office Assistant diploma is an asset Excellent communication and interpersonal skills Proficient with computers, including Microsoft Word, Excel, Canva, booking systems, and point-of-sale systems Strong ability to multitask and prioritize in a fast-paced environment Detail-oriented, highly organized, and able to maintain a professional and polished demeanor Experience in the medical aesthetics or plastic surgery industry is a strong asset
