We are seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong organizational skills, proficiency in various software applications, and the ability to multitask in a fast-paced environment.
Responsibilities
Greet and assist clients and visitors in a professional manner.
Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
Perform data entry tasks accurately and efficiently.
Maintain organized filing systems for easy access to documents.
Provide clerical support including typing, proofreading, and document preparation.
Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
Handle customer inquiries and provide support as needed.
Assist with bookkeeping tasks using QuickBooks or similar software.
Maintain the front desk area to ensure it is welcoming and organized.
Support the team with any additional administrative duties as required.
Requirements
Previous office experience is essential; experience in a medical or dental office is preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Strong computer skills with the ability to learn new software quickly.
Excellent organizational skills with attention to detail.
Effective phone etiquette and customer service skills.
Experience with data entry and clerical tasks is required.
Ability to manage multiple priorities while maintaining a high level of accuracy.
Typing proficiency with strong proofreading capabilities.
Familiarity with QuickBooks or similar bookkeeping software is a plus.
