Wellness and Community Connections Centre Receptionist
Casual Hours Monday to Friday between 8 - 4
SUMMARY OF FUNCTION:
The receptionist is responsible for providing reception duties including answering telephones/emails, greeting patrons/clients, entering and taking registrations for programs, clerical functions, regularly update Resource Directory and Housing Databases, mail pickup and delivery to/from MGB, booking training registrations/accommodations for staff, ordering office supplies, and monthly statistics compilation.
KEY DUTIES AND RESPONSIBILITIES:
1. Provide reception duties in person, by telephone and electronically:
Is the first line of contact for walk-ins/callers and those experiencing crisis situations and refers to the appropriate staff member
Provide information and referral support for general inquiries within an extremely busy Reception office including answering phones, emails, social media, and in person inquiries; and referring to the appropriate staff member
2. Coordinate staff meetings/trainings/bookings
3. Opening duties (e.g. unlock book shelf, and setting up for seniors walk)
4. Distribute Subsidized Taxi Cards
5. Respond to enquiries and book Community Bus
6. Book training and accommodations for staff
7. Take registrations using Perfect Mind software
8. Record client traffic and enquiries for statistical purposes
9. Determine and collect outcomes information for provincial reporting purposes
10. Semi - Annually update the Community Resource Directory
11. Provide general office duties:
Order office supplies
File management and maintenance
Utilize Word, Excel, Power Point, and/or other presentation software to prepare reports, correspondence, presentations, and other documents
Mail pick-up and delivery to and from the Municipal Government Building (MGB)
Operate and provide support in the use of office equipment including scanner and photocopier
12. Conduct research, as requested, including internet and database searches
TRAINING, SKILLS, AND ABILITIES REQUIREMENTS:
Post-secondary diploma in Office Administration and/or equivalent combination of education and experience preferred
Minimum 2 years' experience in an FCSS or Social Services Environment
Experience, Training or skills in the areas of mental health, working with seniors or vulnerable persons an asset
Strong initiative and the ability to work with minimal direction
Excellent time management, organizational and problem solving skills and abilities
Ability to work positively in a team environment as well as working with minimal supervision to contribute to the overall success of the Division
Knowledge of WCC, FRN, and community programs and resources is required
Ability to work with challenging issues in a sensitive and effective manner including being initial contact for clients in crisis and forwarding them to appropriate staff person
Strict adherence to confidentiality unless person(s) is exhibiting harm to self or others or as is required by law
Ability to work in a fast paced and changing environment in a positive and upbeat manner
Class 5 driver's license and use of a personal vehicle during business hours
