About this Opportunity

This position currently works 8:30am-3:00pm Monday to Friday, with a seasonal layoff period of June to August each year. The hours of work and seasonal layoff period are flexible based on operational needs and can be discussed further at the time of the interview.

Job Summary
This position is the first point of contact for the Department of Biology and provides front line receptionist duties and administrative support in the General Office.
Reporting to the Assistant to the Chair and Department Secretary, the receptionist answers inquiries (in-person, via email, and by phone) from students, staff, faculty, and the public.
Responsibilities include general reception and administrative support duties (sorting and distributing mail/packages, managing keys, managing van bookings, managing use of photocopiers, room bookings, updating log books, ordering supplies, communications of events and other announcements, support for seminars, coordinating the printing of theses, and ordering textbooks), assisting with Work Study and grant funded employee processes, processing lab evaluations, and performing other duties similar in scope and complexity, as required.
This position is also responsible for front-line responses to a general biology email address for students in first- and second-year lab courses.
Job Requirements
Experience:
This position requires a minimum of 1-3 years' related experience in a similar office environment, or equivalent combination of education and experience.
Knowledge/Skills/Abilities:

  • Acts effectively and professionally in a receptionist capacity in a busy general office.
  • Ability to work independently while being a team player.
  • Ability to communicate effectively with students, staff, faculty, and the public in a calm, courteous, and cooperative manner.
  • Good organization skills and ability to multi-task with accuracy and within deadlines while in a busy office environment with frequent interruptions.
  • Good judgment to determine work priorities, manage time effectively, and seek clarification when information is unclear.
Specialized Knowledge/Education:
  • Strong clerical skills using a variety of software: experience with Microsoft Word, Excel, and Outlook is required; some knowledge of Microsoft Access, PowerPoint, and Publisher is desirable.
  • Strong knowledge of general office procedures.
  • Familiarity with the University and some of its administrative practices and policies is considered an asset.
