We are seeking a proactive and driven Receptionist for our Queenston Chevrolet Buick GMC dealership. This role is a great opportunity to join a large, dynamic automotive group and play a key part in ensuring the smooth daily operations at our dealership.
Position Duties & Responsibilities
Customer Service & Front Desk Management
Greet and assist customers as they enter the dealership, ensuring a welcoming and professional first impression.
Answer incoming calls, direct them to the appropriate department or personnel, and provide general information as needed.
Maintain a professional appearance and friendly demeanor to create a positive customer experience.
Assist customers with inquiries and direct them to the appropriate team members based on dealership workflow.
Telephone & Communication Management
Operate the dealership's phone system, including programming extensions, managing call routing, and assisting employees with phone functions.
Manage the dealership's message and paging system, including paging staff as needed and ensuring effective internal communication.
Administrative Support
Handle and distribute incoming faxes, ensure proper routing, and contact unsolicited fax advertisers for removal from broadcast lists.
Prepare outgoing mail and maintain the postage meter.
Assist the sales department by posting receipts for vehicle deposits and sales.
Forward copies of invoices to extended warranty or leasing companies.
Maintain an organized and clean work environment, including overseeing office equipment such as photocopiers and fax machines.
Dealership Operations Support
Provide administrative support to the head office, including faxing invoices and submitting documents for payment.
Perform any additional duties and tasks as needed assigned by the supervisor.
Qualifications
Proficiency in Microsoft Office (Word, Excel) is required. Experience with CDK automotive software is a plus.
Previous receptionist experience is considered an asset.
Skills, Knowledge and Abilities Required
Strong customer service skills with the ability to greet and assist visitors in a courteous and professional manner.
Friendly and professional demeanor, maintaining a polished appearance as the first point of contact at the dealership.
Effective communication skills to engage with customers, identify their needs, and direct them to the appropriate department.
Proficiency in proper telephone etiquette and call-handling techniques.
Ability to answer customer inquiries over the phone or efficiently transfer calls to the appropriate team member or department.
Familiarity with the dealership's structure to ensure accurate call and customer redirection.
Strong written communication skills for clear and accurate documentation.
Organizational skills to manage paperwork and maintain filing systems in accordance with dealership procedures.
Competency in operating office equipment, including fax machines and word processing software.
