Job Summary
The Office Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional environment. This role is responsible for managing front desk operations, handling incoming calls and emails, scheduling appointments, and supporting general administrative tasks. The receptionist ensures smooth day-to-day operations and contributes to a positive and organized workplace.
Responsibilities and Duties
Reception:
Greet visitors to the administration office in a professional and friendly manner.
Answer incoming telephone calls courteously and promptly.
Take accurate messages and forward calls to appropriate staff members.
Determine visitors' needs and direct them to the correct department or personnel.
Answer routine inquiries and provide general information.
Maintain accurate records of staff attendance, including those away at meetings and expected return times.
Monitor and manage the general mailbox and distribute messages accordingly.
Keep the reception area clean, tidy, and free of clutter.
Manage bookings for the community hall and boardrooms, including scheduling, confirming reservations, maintaining booking calendars, and coordinating room set-up or special requirements as needed.
Administrative Support:
Provide general clerical support to the administration office and other departments as needed.
Type, photocopy, compile, and distribute letters, memos, reports, and other documents.
Operate standard office equipment such as printers, copiers, and fax machines.
Update and distribute the internal telephone directory as changes occur.
Arrange courier services (e.g., Purolator, DHL) for sending and receiving packages.
Monitor the functioning of phone answering systems and mailboxes.
Office Security and End-of-Day Procedures:
Ensure all office windows and doors are locked and secured at the end of each workday.
Turn off heaters, coffee makers, and other appliances at the end of the day.
Other:
Perform other duties as assigned by the supervisor.
Knowledge, Abilities & Skill Requirements:
High school diploma or equivalent (preferred).
Proficiency with Microsoft Word, Excel, and email.
Knowledge of standard office procedures and equipment.
Strong written and verbal communication skills.
Excellent time management and organizational abilities.
Ability to interact with the public respectfully, sensitively, and professionally.
High degree of professionalism, honesty, and confidentiality.
Strong team player with a positive work ethic and attitude.
Valid BC Class 5 Driver's License.
Must pass a Criminal Record Check and Vulnerable Sector Check.
Willingness and ability to work flexible hours, including evenings and weekends, as needed.
Reliable transportation and willingness to travel as required.
Working Conditions:
Frequent interaction with the public, phone usage, and email communication.
Prolonged periods of computer use and sitting.
Manual dexterity required for operating office equipment.
Occasional exposure to individuals who may be upset, frustrated, or angry.
Required to work occasional evenings, weekends, or overtime for events or special circumstances.
Hours of Work
Regular hours of work will be from 8:00am - 4:00pm for 7 hours per day from Monday to Friday up to 35 hours per week. It is expected that all work will be completed within your regular working hours, however, you may be required from time to time to work outside your normal hours of work.
