Scope
Reception is responsible to meet, welcome and direct the residents, visitors, family, contractors, service providers and the public to the appropriate department or person(s) either by phone or in person. Reception is required to answer the telephone and perform clerical work as required.
Job Qualifications
• Criminal Record with Vulnerable Sector Check
• Office Administration diploma or courses would be an asset or experience will be considered.
• Computer Skills in Microsoft Office programs including Word, Excel, Outlook is mandatory.
• Good oral and communication skills are required.
• Knowledge in customer service principles and practices are required.
• Previous experience in a health care facility would be an asset.
• Knowledge of office equipment - such as copiers, printers, faxes is required.
• Must have the ability to listen and be observant.
• Must have the ability to speak, read and write English.
• Must be able to follow oral and written directions.
• Must be able to prioritize and organize.
• Must be able to multi-task.
• Experience working with the elderly would be an asset.
• Work scheduled shifts which may include evenings and weekends.
• First Aide/CPR is an asset.
• Able to sit for extended periods of time.
• Able to walk to do internal deliveries.
• Capable of the requirements on the physical demands document.
• Must be able to maintain confidentiality.

Responsibilities
• Provide initial face-to-face and telephone contact with visitors, residents, and staff.
• Attend to the needs of the residents and know where to redirect them.
• Troubleshoot maintenance issues after hours/weekends.
• Handle sick call-ins on the afternoon and weekend shifts.
• Update binders.
• Handle emergencies - contact 911.
• Provide administrative support as required including forms, posters, photocopying, faxing, typing, filing, maintain spreadsheets, surveys, updates on ComVida, and all other duties assigned by management.
• Manage and balance petty cash.
• Deliver memos and or mailings to residents.
• Assist residents with pendants (emergency call buttons).
• Order office supplies and assure stock is maintained.
• Ensure inquiries/concerns are directed to the appropriate department and/or person.
• Work as a member of a team and effectively communicate with them.
• Become knowledgeable with the Emergency Procedures including fire procedures, emergency panel, WHMIS, Health & Safety, Protection of Persons in Care Act, and other procedures as informed by management.
• Adhere to company policies.
• Attend education sessions.
• Report resident and family concerns in a timely manner by Progress Notes and advising your Manager if necessary.
• Other duties as required by direction of your Manager.
