Our Yellowknife office is looking for a dynamic and motivated Receptionist / Office Assistant to join our team. This is a role where you will work with a variety of our firm\xe2\x80\x99s team members and will be responsible for completing a variety of tasks. As our receptionist and office assistant at Field Law, your mission is to welcome clients and start their law firm experience on a positive note. The receptionist must make every client feel at ease at Field Law and give the best possible first impression. We place great value in a candidate\xe2\x80\x99s ability to recognize the importance of team work to participate in facilitating a culture of collaboration.

Duties + Responsibilities

  • Answer and direct calls
  • Manage file updates
  • Intake and manage all mail
  • Internal mail sending/receiving
  • Outgoing client package sending
  • Minute book/file sending/receiving
  • Boardroom and signing room bookings and set up
  • Staff meeting/training booking and set up
  • Manage notary requests
  • Direct client visitors
  • Lounge set up and planning
  • Access to building management portal for service incidents
  • Prepare for meetings and manage invites
  • Take meeting minutes
  • Manage, order, and organize coffee/fridge items
  • Maintain general office cleanliness, organization, and repairs
  • Maintain kitchen cleanliness
  • Maintain a current document for reception that details the processes
  • Manage, order and organize office supplies
  • Manage YK invoices email \xe2\x80\x93 including submitting office functioning invoices
  • Printer maintenance and facilitation of any repairs or supply ordering
  • Assist with executing firm events
  • Assist with general office service requests from other offices
  • Maintain the swag log and stock
  • Oversee the client care experience
  • Library maintenance, updating and projects.

Qualifications + Skills

  • Excellent verbal and written communication skills
  • Have excellent customer orientation, demonstrating emotional intelligence
  • Experience working with MS Word and Outlook
  • Be at ease managing telephone system, printer and copier
  • Must thrive in a team-oriented, collaborative environment
  • Exceptional attention to detail
  • Ability to work independently, as well as within a team environment
  • Dedicated to providing quality service to clients
  • Excellent organizational and time management skills
  • Excellent interpersonal skills

Working Conditions

  • Normal week-day office hours (40)
  • Must have the ability to work in a fast-paced work environment
