Job Description


We are looking for an organized and detail-oriented Receptionist on behalf of our clients to join their team on a contract basis in North York, Ontario. In this role, you will serve as the first point of contact for visitors and callers while providing essential administrative support to ensure smooth office operations. This position requires excellent communication skills, attention to detail, and a commitment to maintaining confidentiality in a secure environment.
Responsibilities:

  • Serve as the primary backup for reception duties, including greeting visitors and managing a multi-line phone system.
  • Provide administrative support such as handling mail, organizing files, and coordinating office supplies and inventory.
  • Assist with vendor communication and procurement of items such as shredding supplies and printing materials.
  • Maintain a detail-oriented and welcoming reception area, adhering to business casual dress code standards.
  • Ensure secure handling of confidential data and uphold organizational privacy protocols.
  • Support workplace operations by assisting with invoice processing and liaising with the manager of workplace operations.
  • Collaborate with team members to manage schedules and coordinate appointments effectively.
  • Quickly learn and adapt to processes within a non-profit environment to enhance daily workflows.
  • Provide additional support on busy days, particularly Wednesdays, and commit to the core working hours of 8 AM to 4 PM with a 45-minute unpaid lunch break.
  • Utilize Microsoft Office tools, including Word, Excel, and Outlook, for efficient communication and documentation.
  • Minimum of 1 year of experience in reception or administrative roles.
  • Proficiency in answering multi-line phone systems and managing high call volumes.
  • Strong interpersonal and customer service skills to interact effectively with visitors and colleagues.
  • Familiarity with Microsoft Word, Excel, and Outlook for daily tasks.
  • Ability to organize files, manage inventory, and coordinate schedules.
  • Experience in handling secure and confidential information with integrity.
  • Quick learning ability to understand processes and procedures, especially in a non-profit setting.
  • Bilingualism in English and French is an asset but not required.
